About The Position

The Manager, Synch Licensing supports the day-to-day operations of Reservoir's synchronization licensing business. Working closely with the Licensing, Clearance, and Royalty teams, this role is responsible for preparing agreements and invoices, tracking licenses and payments, maintaining accurate records, and helping ensure deals move efficiently from approval through payment collection. The role includes, but is not limited to, the following responsibilities.

Requirements

  • Bachelor's degree in Music Business, Business Administration, Accounting, Finance, or a related field.
  • 5+ years of experience in music licensing, synchronization licensing, copyright administration, or a related music industry role.
  • Strong understanding of music licensing, synchronization, copyright, and music clearance processes.
  • Experience preparing licensing agreements, invoices, and managing payment workflows.
  • Advanced proficiency in Microsoft Excel, including PivotTables, XLOOKUP/VLOOKUP, and formulas; proficiency with Microsoft Office Suite.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong analytical skills with excellent attention to detail and accuracy.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Excellent written and verbal communication skills.
  • Self-motivated with a proactive approach to problem-solving and continuous process improvement.

Responsibilities

  • Prepare and issue synchronization license agreements, invoices, and related licensing documentation.
  • Maintain accurate digital records for all licensing projects, including correspondence, agreements, invoices, payments, and supporting documentation.
  • Partner with the Royalty department to facilitate the processing and tracking of incoming synchronization payments.
  • Maintain and update licensing databases to accurately reflect the status of licenses, invoices, and payments.
  • Collaborate with the Clearance team to ensure deal terms and licensing information are complete and accurate.
  • Distribute invoices, W-9 forms, vendor documentation, and other required materials to licensees and clearance companies.
  • Monitor outstanding receivables, follow up on license fee collections, process incoming payments, and reconcile payment activity with the Royalty department.
  • Review daily payment notifications to identify and allocate incoming synchronization revenue.
  • Assist with monthly payment reconciliations and reporting activities.
  • Support process improvements and other departmental initiatives as needed.
