About The Position

The Manager, Supply Chain Specialist, is accountable for managing end-to-end order processing and fulfillment for research, development and commercial products, as well as service orders. This position ensures accurate order entry, allocation, and fulfillment while maintaining compliance with regulatory and quality requirements. The role partners closely with Supply Planning, Manufacturing, Quality, Logistics, Accounting, and Commercial teams to support uninterrupted supply and a high level of customer service. The Manager, Supply Chain Specialist reports to the Vice President of Supply Chain, within the Technical Operations organization, and is based in Redwood City, California. Requirements

  • Bachelor’s degree in Supply Chain Management, Engineering, Business, or related life sciences field
  • 5+ years of experience in order management, customer service, or supply chain management roles in biotechnology or pharmaceutical manufacturing environment
  • Proficiency with ERP/MRP systems (SAP, Oracle) and advanced planning tools
  • Ability to be onsite, in Redwood City, CA

Responsibilities

  • Supply Chain Coordination - Collaborate with Supply Planning, and Logistics teams to align supply availability with order demand.
  • Order Management – Manage the order-to-delivery process from order receipt through shipment and confirmation. Review purchase orders and create sales orders in ERP system, ensuring accuracy of quantities, pricing, lot assignment and delivery requirements. Coordinate inventory order allocation based on production lead times, inventory availability and shelf life to meet customer requirements.
  • Order Fulfillment – In alignment with Supply Planning, Program Management, Quality and Logistics, establish order ship dates. Monitor order status and proactively resolve issues related to inventory shortages, delays, or changes.
  • Supply Chain Coordination – Partner with Logistics and Distribution teams to ensure timely shipment of products to meet customer order requirements.
  • Communication – Serve as a primary order management point of contact for internal stakeholders (Supply Chain, Accounting, Program Management). Communicate order status, delivery timelines, and exceptions clearly and proactively. Assist with customer or partner inquiries related to orders and fulfillment.
  • Compliance & Quality – Ensure all order management activities comply with regulatory and internal quality systems as required. Maintain accurate documentation, support deviations, investigations, CAPAs, and audits related to order fulfillment.
  • Continuous Improvement – Lead system enhancements, process improvements, and SOP development for order management activities.
  • Analytics & Reporting – Generate and analyze reports related to order fulfillment, backorders, service levels, and demand trends. Enhance inventory and order management reporting, used cross-functionally to communicate order progression through completion.
  • KPIs – Develop, monitor, and report key performance indicators to measure and drive order processing reliability and efficiency while maintaining quality standards.
  • Systems & Data Management – Maintain accurate order data in ERP and order management tools and systems (e.g., SAP, NetSuite).
