About The Position

Billings Clinic is seeking a Manager for its Specialty Clinics, specifically Dermatology and Allergy. This role is responsible for overseeing the day-to-day operations to ensure patient needs are met and for operationalizing short- and long-range department goals. The manager will collaborate with the Department Chair and Director to develop objectives, policies, and procedures aligned with the clinic's mission, vision, and values. Key accountabilities include maintaining standards, customer relations, quality of services, high reliability, fiscal control, physician and interdepartmental relations, personnel management, and budget oversight. The position is based at the Billings Clinic Main Campus and is a full-time, exempt role.

Requirements

  • Minimum 2 Year / Associate Degree in Business Administration, Health Care Administration or other Health Care related field or Certified Physician Practice Manager (CPPM) or Certified Medical Office Manager (CMOM).
  • 4 years of successful professional work experience in a management and/or leadership or program management role.
  • Successful experience supervising staff.
  • Experience in budget management and quality improvement.
  • Current MT Driver License and ability to be insured to operate Billings Clinic vehicles.
  • An equivalent combination of education and experience relating to the above tasks, knowledge, skills and abilities will be considered.
  • Employees that require a licensed or certification must be properly licensed/certified and the licensure/certification must be in good standing.

Responsibilities

  • Develops and oversees department cost centers to ensure adherence to organizational mission, vision, values, strategic goals, and business strategies.
  • Interprets and supports the mission and philosophy of Billings Clinic.
  • Responsible for promotion of, and adherence to, the elements of Billings Clinic’s Code of Business Conduct and corporate compliance program.
  • In collaboration with Department Chair, Service Line Director and Chief, develops and implements short- and long-range goals.
  • Leads departments in the overall marketing, program development, and service priorities.
  • Coordinates with physicians and other Billings Clinic leadership to assure continuity in pursuing service line/organizational goals and synergy in implementing plans and problem resolution.
  • Develops, implements, and maintains a realistic, cost-effective annual budget.
  • Identifies opportunities for revenue cycle optimization.
  • Practices process improvement principles to assess and improve the quality of the service/care provided within the departments.
  • Maintains competency in all organizational, departmental, and outside agency safety standards relevant to job performance for department and ensures compliance of department and staff.
  • Develops, retains, recruits, and leads a talented team committed to accomplishing the goals and objectives of Billings Clinic.
  • Recommends, implements, and evaluates plans and systems that assure sufficient number of qualified and competent staff to provide care/services.
  • Adheres to administrative policies and procedures relating to human resource management.
  • Demonstrates and encourages an ethic of open communication and teamwork throughout the organization.
  • Builds an environment of shared commitment to Billings Clinic’s goals and responsibility to achieve quality outcomes.
  • Provides consultation for related concerns and acts as a customer advocate by demonstrating sensitivity to ethical and legal ramifications of practice.
  • Participates in evaluation, selection and integration of health care technology and information management systems that support quality of care/financial needs and the efficient use of resources.
  • Ensure compliance with all regulatory and accreditation standards including CLIA regulations for Mohs Lab, compliance standards for compounding immunotherapy extracts.
  • Ensure compliance and recording keeping for medication procurement, storage and administration.
  • Manage and resolve operational issues, patient complaints, safety events, and staff concerns in a timely and professional manner.
  • Foster a positive work culture that promotes teamwork, respect, and continuous learning.
  • Supports and models behaviors consistent with Billings Clinic’s mission, vision, values, code of business conduct and service expectations.
  • Meets all mandatory organizational and departmental requirements.
  • Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.
  • Performs other duties as assigned or needed to meet the needs of the department/organization.
