About The Position

The American Gastroenterological Association (AGA), a professional medical society dedicated to advancing gastroenterology, is seeking a Program Operations Manager. This role is crucial for coordinating key medical and scientific events, including Digestive Disease Week (DDW) and the Crohn’s & Colitis Congress. The position supports AGA's mission by managing program details, deadlines, logistics, and communications, thereby facilitating events that connect experts, promote education, and foster innovation in GI care. The ideal candidate will be organized, collaborative, and possess experience in event coordination, speaker or volunteer management, and tracking deliverables in a dynamic environment.

Requirements

  • 3-5 years of experience in a combination of project and/or volunteer management.
  • Bachelor’s degree or commensurate work experience.
  • Ability to travel 5% per year.
  • Positive “team player” attitude and excellent interpersonal skills required.

Nice To Haves

  • Prior speaker or volunteer management experience preferred.

Responsibilities

  • Serve as the point of contact between society staff and meeting chairs for Digestive Disease Week (DDW), handling communication with invited speakers and moderators, and managing the speaker headquarters during the event.
  • Act as Program Liaison for the abstract program for the Crohn’s & Colitis Congress and oversee any abstract awards.
  • Manage Continuing Medical Education (CME) processes, including the transfer of session data, setting up the claim site, and reporting for two events.
  • Ensure accurate details for sessions and speakers are maintained on the program agenda websites.
  • Coordinate with the Marketing Department to create and update promotional program materials and websites.
  • Oversee and manage all deadlines related to the society's program.
  • Submit logistics related to the program, such as signage, temporary personnel, and specifications.
  • Maintain event reports, standard operating procedures, and tutorials related to the program.
  • Lead the program team's customer service efforts through the online ticket system.
  • Research and implement new program initiatives and technological advancements.
  • Prepare and manage the budget accounts for the program.
  • Assist the Director of Program Operations, Senior Director of Program Operations, and Vice President of Meetings and Conventions with any necessary phase of event operation or activity.
  • Perform other duties that are consistent with this position as assigned.
