About The Position

This role oversees leaders and team members at a single location and/or region, with financial accountability for day-to-day operations as set in the budget. The Manager, Practice Operations coordinates the procurement of supplies and equipment, maintains inventory, and ensures compliance with financial policies related to cash collections and reconciliation. This position develops office protocols, prioritizes work to meet changing priorities, and makes timely decisions consistent with department objectives and policies. The role involves managing team members, including hiring, firing, and performance management, as well as orienting, training, and supervising departmental staff. The Manager, Practice Operations is responsible for implementing company/departmental objectives and fostering a culture of quality, safety, ethics, privacy, security, and confidentiality. They make decisions to achieve positive outcomes for patients, visitors, and team members, and recommend changes to departmental systems and processes. The role requires responding to urgent situations, preparing incident reports, and communicating decisions to appropriate management. A working knowledge of automated systems is essential, along with ensuring team member proficiency and coordinating training. The work environment is a typical office setting with possible exposure to communicable diseases and hazardous materials. Personnel management includes fair and consistent hiring, supervision, performance evaluation, and discipline. The role promotes good employee relations, ensures appropriate staffing, and reviews work schedules and assignments. Communication with team members regarding the organization's mission and goals is key, as are monthly team meetings and promoting employee engagement and safety. Daily operations involve working with team members and clinicians to implement common priorities and goals to enhance customer service, operational efficiency, and quality standards. Continuous improvement of operations includes implementing measures to correct service deficiencies, reviewing department practices, and monitoring templates/schedules for access. Budget and fiscal responsibility involves monitoring expenditures against the budget and complying with financial policies. Customer service issues are monitored to identify improvement opportunities, and collaboration with other departments is expected. Other duties as assigned.

Requirements

  • 3 years of healthcare and supervisory experience

  • Complies with AMG financial policies and procedures related to cash collections and reconciliation and ensures necessary cash controls are monitored and adhered to.

  • Prepares incident/occurrence reports as necessary.
  • Demonstrates working knowledge of all automated systems which support daily operations and reporting.
  • Ensures all team members are proficient in the use of automated systems and coordinates initial and ongoing training and certification if necessary, of team members.
  • Manages hiring, supervision, performance evaluation, and discipline for the assigned team members in a fair and consistent manner.
  • Promotes good employee relations and solves departmental problems.
  • Ensures department is appropriately staffed.
  • Reviews, evaluates, and monitors work schedules, workflow and duty assignments of personnel and effects changes as necessary.
  • Keeps team members informed of organization's mission, objectives and goals.
  • Conducts monthly team members meetings to ensure there is open and constructive communication.
  • Promotes high employee engagement and safety culture within the center.
  • Works closely with team members and clinicians to develop and implement common priorities and goals for the department to enhance customer service, maximize operational efficiency and ensure high quality standards.
  • Demonstrates competence in all essential functions of the team members.
  • Oversees the implementation of system capability to support front end operations and communications to appropriate parties.
  • Works with Senior Manager, clinicians, team members and customers in implementing appropriate measures to correct perceived service deficiencies.
  • Reviews department practices, quality of work performed, production schedules, and makes changes as needed to improve services.
  • Monitors templates/schedules for access and make recommendations to ensure department is meeting access standards.
  • Monitors actual expenditures against the budget.
  • Monitors patient complaints and issues to identify opportunities for service improvement.
  • Works effectively with other departments in order to solve problems.
  • Other duties as assigned
