About The Position

The Transportation and Supply Chain Institute (TSCI) at the University of Denver (DU) is a leader in research, education, and resources for the transportation and supply chain industry. TSCI's mission is to foster a distinguished network of freight and supply chain transportation leaders through education, research, and outreach, enabling them to integrate transportation modes for sustainable logistics solutions. DU offers an executive Master of Science in Transportation Management and customized corporate programs. The Manager of Operations supports TSCI and the Executive Director in administrative and financial matters, ensuring compliance with DU and College of Professional Studies (PSC) requirements. This role also involves managing TSCI Board relationships and administrative needs.

Requirements

  • Undergraduate degree.
  • Two to three (2-3) years of administrative/office management experience.
  • Proficient in MS Office, Salesforce CRM, and Adobe In Design.
  • Ability to initiate, follow through and complete processes both for assignments and opportunities.
  • Ability to establish and maintain productive and collaborative relationships with communities, cultivating and managing activities to strengthen relationships.
  • Ability to demonstrate good judgment, discretion, confidentiality, and professional/executive attitude.

Responsibilities

  • Support the Executive Director with the efficient and compliant execution of TSCI operations.
  • Develop the annual operating budget and work with the Executive Director to create a zero-based operating plan.
  • Monitor operational expenses against the annual budget and review with the Executive Director and Executive Board.
  • Monitor all current-year budget activity, maintaining detailed records of financial and scholarship commitments.
  • Review expense reports and reimbursements for faculty, staff, and guests.
  • Communicate and maintain travel and expense policies for faculty, staff, and guests.
  • Manage the receipt of scholarship funds from TSCI Board companies and maintain scholarship funds to ensure accurate balances.
  • Administer scholarship funding to students and manage contributions between grantors and TSCI, including application submission and tracking.
  • Administer external partnerships (e.g., NATMI) in collaboration with internal and external parties.
  • Oversee the marketing strategy and support the marketing team with consistent and relevant content.
  • Involve in TSCI recruiting efforts (students and board members) with the Executive Director and Executive Committee.
  • Provide administrative support for the Board of Directors, including facilitating communications, organizing meetings, and managing special projects.
  • Collect and process receipts of annual giving funds from TSCI Board members, track collections, and report to board members.
  • Manage the TSCI Board membership list, including election and onboarding of new board members, communicating administrative and structural changes/issues, and providing accurate information to the College of Professional Studies.
  • Coordinate with the Executive Director to schedule and facilitate board committee meetings, assisting board members with committee work.
  • Plan TSCI Board meetings in the fall and spring.
  • Manage all aspects of event planning, including reservations, securing space and catering contracts, and communicating with constituents.
  • Attend semi-annual Board of Directors meetings and provide onsite event management.
  • Develop and execute an alumni engagement strategy in collaboration with the Executive Director and Alumni Engagement Committee.
  • Develop and manage Salesforce CRM solution to support the alumni engagement strategy.
  • Manage the TSCI monthly newsletter.
  • Coordinate with the marketing department to design marketing materials and manage marketing campaigns.
  • Coordinate and facilitate webinars (e.g., Transportation Talks).
  • Work with the Executive Director to drive social media and web content strategy.
  • Determine scope through internal and external resources.
  • Manage the design and purchase of branded gift items and marketing materials.
  • Supervise part-time or work-study positions to support the alumni engagement program.
