About The Position

The Manager of Business Services will work in conjunction with the VP of Facilities and Business Services to process purchasing transactions and assist with other department duties.

Responsibilities

  • Assist the VP of Facilities and Business Services as needed with ongoing functions of the Business Office.
  • Handle basic business operations in absence of VP Facilities and Business Services.
  • Work in conjunction with the finance department and monitoring supplies
  • Review purchase requisitions.
  • Submits requisitions and purchase orders for the Supply Department.
  • Obtain quotes for purchase order approval.
  • Generate purchase orders.
  • Submits purchase orders for approval.
  • Process company cell phones and internet orders.
  • Cross check invoices sent by suppliers with purchase orders and documents specifying receipts of goods.
  • Reconcile credit card accounts and generate detailed purchasing summary report for accounts payable.
  • Research discrepancies in invoices, statements and all purchasing documents.
  • Copy and file invoices and other documents as needed.
  • Obtain proper approval before submitting the invoices along with reconciled documents to accounts payable for payment.
  • Manage the Supply Department and work with Maintenance Departments to order supplies necessary to support the operation of the agency.
  • Work with the Supply Department to confirm all orders have been delivered and distributed to requesting departments and programs.
  • Provide back-up for in-coming and out-going mail distribution.
  • Assist with special events as needed setting up and purchasing requested supplies.
  • Deal with vendors and negotiate prices for optimum savings.
  • Research competitive prices, but not limited to conducting comparative pricing.
  • Shop for specific items that need to be purchased by the agency.
  • Help maintain uniformity in purchasing.
  • Ability to work well individually in a team environment.
  • Assist with travel arrangements for agency tours.
  • Plans and prepares work schedules.
