About The Position

The Manager, Material Review and Promotion facilitates the management of Advertising & Promotional materials as they pertain to the U.S. Commercial MRP (Material Review Process). This role leads the review process for promotional and non-promotional materials that are routed through the MRP, performing "Final Sign-off" on material submissions uploaded into Veeva. The Manager ensures that metadata and review tiers align with submitted materials, determines if legal/compliance and Editorial Quality Check are required, and tags additional reviewers if necessary. They also ensure source files are uploaded into Veeva for production vendors, validate back-end approvals before routing to Regulatory Affairs for OPDP submission, and oversee the release of approved materials for distribution. Additionally, this role manages material withdrawal, initiates production of updated package inserts, and identifies promotional materials needing inventory updates. The Manager is responsible for improving agility by streamlining internal processes and driving implementation of process changes, offering guidance on printing processes to commercial team members and agencies. They project manage cross-functional teams of 10 to 20 members, schedule and facilitate review meetings, create and communicate agendas, and prioritize additional live meeting requests. The Manager acts as a neutral facilitator, summarizes team agreements, maintains documentation, leads discussions on project learnings and improvement opportunities, and evaluates metrics for improved agility. They maintain a positive attitude, demonstrate a strong understanding of the brand(s) supported, attend planning meetings, send material status notifications, work closely with Compliance, and notify relevant parties of material status. The role involves developing, maintaining, and tracking process metrics, communicating results, and providing regular updates on the review and approval process. They run reports to identify impacted in-market materials when existing pieces are updated, consistently communicate timely and accurate information, identify project bottlenecks, lead the development of solutions and contingency plans, and develop best practices. Proactive communication with project owners and vendors ensures alignment of project timelines with business needs. The Manager also develops a strong knowledge of customers’ goals and priorities and partners to support those objectives.

Requirements

  • 8+ years Project Management or equivalent experience
  • Subject matter expert in understanding the material review process and associated policies and systems
  • Strong expertise in Veeva
  • Experience in print and digital formats

Responsibilities

  • Facilitate the management of Advertising & Promotional materials as they pertain to the U.S. Commercial MRP (Material Review Process).
  • Facilitate cross-functional team (Medical, Regulatory, Commercial, Legal, Compliance, others) review and approval of Advertising materials, Promotional materials, Sales Training materials, and Promotional Labeling materials.
  • Lead management of cross functional team members and advertising agencies.
  • Communicate material status openly with cross-functional team members and advertising agencies.
  • Provide tactical support and project timeline oversight of materials through MRP.
  • Serve as lead consultant and trainer on the MRP, supporting all team members responsible for uploading and approving materials.
  • Timely review of all promotional, non-promotional materials through U.S. Commercial, Medical reviewers, Regulatory reviewers, and other key stakeholders.
  • Manage and develop a staff of project managers.
  • Develop solutions and contingency plans to facilitate business success.
  • Hold self and team accountable for results.
  • Serve as a mentor and coach others on the MRP.
  • Proactively provide consulting, expertise and MRP process training to cross-functional team members.

  • Lead the review process for promotional and non-promotional materials that are routed through the MRP.

  • Validate all back-end approvals prior to routing material to Regulatory Affairs for Office of Prescription Drug Promotion (OPDP) submission.
  • Oversee release of approved material for distribution.
  • Inform inventory vendors when material withdrawal is required.
  • Initiate production of updated package inserts.
  • Identify promotional material that needs inventory updates and initiate inventory update process.
  • Proactively look for and lead ways to improve agility by streamlining and simplifying internal processes and drive implementation of process changes.
  • Offer guidance and leadership to commercial team members and agencies as it relates to printing processes.
  • Project manage a team of 10 to 20 cross-functional team members.
  • Schedule, manage and facilitate formal concept review requests, and schedule live review meetings to resolve and discuss reviewer comments (i.e., Tier 1 reviews, Formal Concept Reviews).
  • Create and communicate weekly review team meeting agendas.
  • Prioritize and schedule any additional live meeting requests (e.g., exceptions, revise & resubmits) as needed.
  • Schedule and facilitate weekly live prioritization meetings with business owners.
  • Review dashboard within Veeva to understand upcoming volume of materials being planned for submission.
  • Act as a neutral facilitator in project discussions, summarize team agreements and maintain required documentation of discussion outcomes.
  • Lead discussion on projects that didn’t go well to identify learnings and improvement opportunities.
  • Lead team discussion on metrics; evaluate and provide opportunities for improved agility.
  • Maintain a positive, energetic, and engaged attitude and approach to work under times of stress.
  • Demonstrate strong good understanding of the brand(s) supported.
  • Attend brand and tactical planning meetings to understand upcoming workload.
  • Send material status notifications through MRP.
  • Work closely with Compliance to address identified issues, as needed.
  • Notify Fulfillment Center, Business Owner or Interactive Agency of material status.
  • Develop, maintain, and track process metrics, communicating results to all stakeholders.
  • Provide regular updates to relevant stakeholders on the health of the advertising and promotional review and approval process.
  • When an existing piece is updated / changed, run report to identify in-market materials that are impacted and need to be updated / expired – alert Business Owners.
  • Consistently communicate timely and accurate information and project progress to project owners.
  • Identify project bottlenecks and bring cross-functional team members together to resolve issues.
  • Lead the development of solutions and contingency plans to facilitate business success.
  • Develop best practices/lessons learned and share with the business to enhance team success.
  • Proactively lead ongoing communication with project owners / vendors to ensure that project timelines are aligned with business needs and expectations.
