HomeBase, the Family Office at Cozen O'Connor has an opening for a Relationship Manager located in the Philadelphia Metro region. This role is the primary contact for family office clients, partnering closely with internal team members to oversee and coordinate all aspects of clients’ financial and administrative affairs with the highest level of discretion, professionalism, and integrity. The individual in this position builds and maintains trusted relationships with clients, their family members, and external advisors, including legal, tax, and investment professionals, ensuring a seamless and highly coordinated service experience. Responsibilities

  • Serve as the primary client-facing contact, maintaining a comprehensive understanding of each client relationship, anticipating needs, and delivering timely, accurate, and high-quality service.
  • Build and sustain trusted relationships with clients, family members, and external advisors (accounting, tax, legal, investment, insurance, banking), exercising the highest level of discretion and confidentiality.
  • Manage client onboarding and ongoing relationship administration, including but not limited to account openings, documentation maintenance, coordination of bill pay, distributions, private investment-related activities and insurance review.
  • Establish and document customized workflow protocols and ensure adherence to client-specific guidelines.
  • Coordinate semi-annual client deliverables and annual planning meetings with attorneys and other professional advisors to ensure proactive alignment, and conduct an annual client service review to assess services delivered relative to the scope of work, gather feedback, and identify opportunities for improvement
  • Oversee full-scope general ledger functions for assigned client relationships, ensuring accurate transaction classification and reporting integrity.in order to support clients/trustee(s) informed decision-making
  • Perform monthly account reconciliations and review general ledger activity for completeness and accuracy on all assigned client bank and investment accounts.
  • Review transactional activity for all invoices to validate accuracy, reasonableness, and proper coding, identifying and resolving discrepancies, as needed.
  • Track client’s alternative investments, capital commitments, capital calls and distributions.
  • Create and manage client-specific tax calendars; collect and review Forms 1099, prepare 1099-NEC / 1099-INT(if required), and confirm K1 activity for distribution/coordination with external accountants.
  • Payroll through ADP/Paychex and corresponding general ledger entries; coordinating and reconciling W2/W3s, quarterly and annual payroll reports.
  • Maintain comprehensive and organized client financial records, including account summaries, EINs, trust and estate documents, tax returns, and other key materials.
  • Partner closely with internal team members, relationship associates, trust administrators, and technology teams to ensure seamless client service delivery.
  • Support management in advancing organizational vision, strategic planning initiatives, and continuous process improvements.
  • Supports the IT Specialist, who maintains and oversees the wealth management system, by ensuring all client updates and changes are accurately captured and incorporated into structured, up-to-date client profiles.
  • Provide support for special projects and ad hoc initiatives as needed, contributing positively to overall team success.
