About The Position

The Manager, Grants will play a key role in advancing compliant, high-impact Medical Affairs grant programs that support scientific exchange, external collaboration, and education within a dynamic oncology organization. This role offers the opportunity to partner closely with Medical Affairs leadership, Legal, Compliance, Finance, Quality, and external stakeholders to strengthen grant governance, improve operational processes, and ensure timely, accurate execution of IME/CME, IIT, publication, sponsorship, and other research or educational funding activities. The Manager, Grants is responsible for the operational management, governance, and compliance oversight of Medical Affairs grant programs, including Independent Medical Education (IME/CME), Independent Investigator-Initiated Trials (IITs), publications, sponsorships, and other external research or educational funding. This role ensures all grant activities are conducted in accordance with company policies, applicable laws and regulations, and industry standards while supporting scientific exchange and external collaboration.

Requirements

  • Bachelor’s degree required
  • 5+ years of experience in grants management, medical affairs operations, clinical research administration, or medical education within pharma, biotech, CRO, or academic settings.
  • Experience managing CME/IME, IITs, or research grants in a regulated environment strongly preferred.
  • Strong understanding of Medical Affairs compliance, grant governance, and industry codes.
  • Excellent organizational and project management skills with high attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with grant management systems preferred.
  • Collaborative, proactive, and solutions-oriented mindset.

Responsibilities

  • Manage the end-to-end operational lifecycle of Medical Affairs grants, including intake, review, approval, contracting, payment, tracking, and closeout.
  • Serve as the primary operational contact for IME/CME, IIT, publication, and sponsorship grants.
  • Ensure accurate documentation, tracking, and reporting of all grant activities and expenditures.
  • Coordinate and support Grants Committee meetings, including agenda development, materials preparation, documentation of decisions, and follow-up actions.
  • Ensure grants processes adhere to internal SOPs, compliance policies, OIG guidance, PhRMA Code, and other applicable regulations.
  • Partner with Legal, Compliance, Finance, and Quality to ensure consistent and compliant grant execution.
  • Collaborate with Medical Affairs leadership, Medical Directors, and cross-functional teams to align grants with scientific and educational objectives.
  • Serve as a liaison with external organizations, including academic institutions, medical education providers, and investigators.
  • Provide guidance to internal stakeholders on appropriate use of grant funding and process requirements.
  • Track grant budgets, commitments, and spending to ensure financial accuracy and transparency.
  • Support forecasting and reconciliation of grant payments in partnership with Finance.
  • Prepare metrics, dashboards, and reports related to grant volume, timelines, and compliance performance.
  • Support continuous improvement of grants processes, workflows, and systems (e.g., grant management platforms).
  • Assist in the development, maintenance, and training of SOPs and work instructions related to grants management.
  • Contribute to audit and inspection readiness activities related to Medical Affairs grants.
