About The Position

Results for America (RFA) is seeking a Manager, Finance & Operations to join their team. This role is crucial for managing the organization's financial resources, including budgeting, financial reporting, and overseeing contracts, invoices, and reimbursements. The position also involves financial planning, treasury management, grant budgets, fiscal policies, audits, tax filings, and IT infrastructure. The Manager will be responsible for accounts payable/receivable, compliance activities, grants and contract management, and supporting other finance and operations functions. This is a full-time, exempt position based in a home office anywhere within the U.S.

Requirements

6-8 years of relevant work experience and college degree (or equivalent practical work experience)
Progressive experience in support roles for a finance or development function in a nonprofit organization and/or grants or contracts management for a nonprofit organization similar in size to RFA.
Analytic and quantitative skills relevant to nonprofit finance and/or development functions.
Bachelor’s degree in a related field (such as business or finance management).
Demonstrated ability to prioritize and complete assigned work and meet individual goals and deadlines.
Experienced at setting and successfully managing projects; prior experience executing concurrent projects to successful outcomes.
Highly organized and detail-oriented with a demonstrated ability to work independently to drive things to completion.
Strong oral and written communication skills.
Proven ability to communicate finance and grants management concepts to various levels of staff, share relevant information in a timely manner, and maintain a high level of professionalism.
Demonstrated ability to work with groups of people/stakeholders; collegial team player with the ability to be nimble, flexible, and responsive in a dynamic environment.
Familiarity with nonprofit accounting principles and grants management best practices.

Valid work authorization that does not require sponsorship of a visa for employment authorization in the U.S.

Responsibilities

Manage Accounts Payable/Receivable, including processing invoices, expense reimbursements, staff training and month-end close.
Manage and execute RFA’s compliance activities and requirements.
Support grants & contract management including grant reporting, subgrants management, and contracts tracking.
Support other finance and operations management functions including but not limited to audits, and cross-team administrative support.
Manage and keep up to date the Accounts Payable processes (e.g., Bill.com, Ramp, and ACHs).
Ensure A/P compliance with RFA Fiscal Policies & Procedures and assist with keeping all A/P policies and procedures up-to-date.
Process all payment requests, including external vendors and consultants (Bill.com), staff reimbursements, and corporate card payments (e.g., Ramp tool).
Serve as the second-level and final approver of Ramp credit card transactions up to $10,000 confirming receipts are submitted and coding is accurate, ensuring contracts are in place when appropriate for vendors/consultants, and verifying payment terms and grant/budget allocations are correct (if applicable).
Assist with setting up new vendors, ensure timely payment, and resolve payment and administrative issues.
Own and manage the honorarium & external reimbursement forms.
Support Month-End & Year-End close processes and liaise between Accounting (eC), Finance and Operations, and Program teams.
Distribute and review monthly finance reports, coordinate re-classes needed as part of the month-end close process.
Ensure timely review and administration of accounts payable accounts (i.e., Bill.com, Ramp) to support the month-end close.
Manage updating Bill.com & Ramp training manual and provide training of staff on accounts payable processes and systems.
Manage and coordinate the processing and approval of grant/FFS invoices; Send invoices to funders, donors, and other stakeholders; Track receivables and follow up on outstanding invoices to ensure timely collection.
Coordinate follow up to funders of pending grant receivables with eCratchit and Development.
Perform any other duties assigned by the VP of Finance & Operations related to accounts payable/receivable and expense management.
Support the Director of Finance & Operations in the administration of RFA’s grants portfolio.
Support the monitoring of grant spending for RFA’s grant agreements in accordance with approved grant budgets.
Prepare internal quarterly grant reports for the Director’s review and approval.
Support financial grant reporting efforts to fulfill grant reporting requirements, in partnership with the Director, the Development team and Accounting firm.
Manage RFA sub-granting process, in close partnership with the Director, including: Support Director and program teams in the implementation the RFA sub-granting process; Manage tracking and monitoring of subgrantees; tracking submission of subgrantee due-diligence documentation, grant agreements, and subgrantee reports; Monitor subgrantee reports and spending levels and flag any over/under spending to Director and/or Program Leads; Liaise between subaward recipients and RFA’s Vice Presidents and the RFA Finance and Development team as necessary.
Manage the development, payment, allocation, and tracking of sub-awards and fee-for-service contracts to the organization’s strategic partners.
Own and manage the contract review form and contract tracker and make any necessary updates throughout the year.
Ensure that the Finance team has all contract documentation necessary for record keeping and invoice payment purposes.
Track organizational contract spending on businesses owned by historically underrepresented populations (Schedule B).
Lead the management of organizational compliance requirements including but not limited to: Monitor & ensure RFA meets annual compliance calendar deadlines, in partnership with VP, Finance & Ops and SM, HR & P&C Team; Update and manage RFA compliance tracker; Manage, track and renew the administration & renewal of RFA org registrations and reporting in compliance with federal and state/city/jurisdictional laws/requirements: General Liability, IRS 720 reporting, 403(b), IRS-5500 reporting, Charitable Registrations, and execute relevant state tax reporting and/or withholdings (DC - FR-900Q Quarterly Return), in partnership with the Finance Associate.
Liaise and serve as primary RFA “point” person with key external RFA insurance and compliance consultants: Copilevitz, Lam, and Raney (Charitable Registrations) & Alliance (General Liability Insurance).
Support the annual update of the Fiscal Policies and Procedures Handbook (FPPH), particularly Subgrants, AP/AR and Compliance sections.
Provide support with annual audits, donor and grant audits, and provide necessary financial information and reports.
Support the preparation for the implementation of periodic budget check-in meetings with pertinent program leaders and the the Development team to review spending rate of each grant and General Operations funding allocated to each department.
Coordinate/own the distribution of monthly finance reports and liaise with program teams and eCrachit to identify reclasses.
Support the team with expense analyses and projections in order to help build accurate budgets.
Identify tools to monitor and track contract spending more effectively, including the use of RFA approved AI tools in support of finance team workflow.
Own and manage the Finance & Ops Team Help Desk, and ensure it is up to date as processes or policies change.
Manage Finance & Ops team calendar, including scheduling office hours and team meetings, and updating monthly close and reporting deadlines as needed.
Project manage and support one-time Finance & Ops team special projects or organizational initiatives where needed.
Provide training to RFA staff as needed in AP processes, subgrants, and or contracts.
Support ad hoc requests from the VP of Finance & Operations, Director of Finance & Operations, and/or the Executive Team for information and/or reports.
