About The Position

Lead the ambulatory access, referral, and template management strategy across Loyola Medicine. Oversee provider capacity planning, demand management, and schedule optimization to improve patient access. Develop and maintain Epic scheduling templates, cadence strategies, decision trees, subgroups, and referral workflows. Monitor access-related metrics, including referral turnaround times, scheduling rates, appointment completion rates, patient wait times, and referral leakage. Identify and eliminate barriers to patient access and improve the overall patient experience. Direct the end-to-end referral management process from referral initiation through appointment completion. Ensure referrals are processed accurately and efficiently. Partner with operational, clinical, and IT leaders to build and maintain provider schedules across specialties and locations. Serve as the escalation point for template, scheduling, subgroup, and decision-tree issues. Promote standardization and best practices across ambulatory scheduling operations. Recruit, hire, coach, evaluate, and develop team members. Foster a culture of collaboration, accountability, service excellence, and continuous improvement. Ensure staff receive ongoing training and development opportunities. Act as the subject matter expert for Epic Cadence, template management, and access workflows. Provide consultative guidance to physicians, executive leaders, operational leaders, and IT teams. Lead strategic access initiatives and support organizational goals. Present recommendations, data, and performance insights to senior leadership.

Requirements

  • Bachelor's degree required.
  • Minimum 2 years of healthcare-related experience required.
  • Experience with physician practice operations, ancillary scheduling, referral management, or patient access workflows.
  • Experience leading process improvement, operational strategy, or healthcare access initiatives.
  • Strong knowledge of Epic template management and Epic Cadence configuration.
  • Epic Cadence Certification upon hire or within one year of employment.
  • Understanding of scheduling systems, referral workflows, access management, and healthcare technology.
  • Experience analyzing provider capacity, utilization data, and operational performance metrics.
  • Ability to build consensus with diverse stakeholders.
  • Strong communication and presentation skills, including presenting to executive leadership.
  • Experience managing change and driving operational improvements.
  • Ability to solve complex problems and make decisions using incomplete or conflicting data.
  • Valid Illinois Driver's License.
  • Commitment to patient safety, quality improvement, service excellence, and collaborative leadership.

Nice To Haves

  • Master's degree preferred or equivalent combination of education and relevant experience.
  • 3 to 5 years of healthcare experience preferred.
  • Prior people leadership experience preferred.

Benefits

  • Salary Range: $96,782 - $159,702 per year
