About The Position

The Management Assistant serves as the senior administrative and operational leader for the Office of the Dean within the College of Nursing, Rehabilitation, and Human Health (CONRHH). This position provides executive-level operational, personnel, fiscal, and strategic support to the Dean and senior leadership team while overseeing the daily administrative functions of the college. The position serves as the central coordination point for the Dean’s Office and supports operational needs across the college’s academic programs. It provides high-level administrative leadership, operational oversight, strategic coordination, and problem-solving support to the Dean’s Office, academic leadership, faculty, staff, and external stakeholders, while collaborating with the Administrative Service Manager role on the Meridian campus to support programs statewide. This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.

Responsibilities

  • Provide high-level administrative and operational support to executive leadership. Coordinate calendars, meetings, travel, communications, reports, and strategic initiatives while managing sensitive information, prioritizing operational needs, and ensuring continuity of office operations.
  • Oversee daily administrative operations and support organizational efficiency across departments. Provide guidance on university procedures, train and support administrative staff, improve workflows and processes, maintain operational systems, and assist with resolving administrative and operational issues.
  • Coordinate personnel and recruitment processes, onboarding activities, and confidential employee records while ensuring compliance with university policies and procedures. Support leadership and search committees with personnel-related operations and documentation.
  • Support financial and operational activities including budget tracking, purchasing, travel coordination, reimbursements, contracts, and resource management in accordance with institutional policies and procedures.
  • Coordinate facilities operations, space planning, technology and infrastructure support, and operational projects. Serve as a liaison with internal and external partners to support organizational transitions, continuity efforts, and strategic initiatives.
  • Coordinate executive-level events, meetings, and institutional activities, including logistics, communications, and stakeholder engagement. Serve as a professional representative of leadership while supporting strategic communications and external relations.
  • May directly supervise administrative support staff, temporary employees, student employees (e.g., Career Path Interns), or other assigned personnel.
  • May provide functional supervision, workflow coordination, onboarding, training, mentorship, and operational guidance to departmental administrative staff across the college through a collaborative or dotted-line reporting structure.
