About The Position

The Maintenance Support Coordinator is a vital link in GFL’s operational chain, responsible for providing high-level administrative and system support within the M5 platform. This role ensures the integrity of our fleet and facility data, streamlines cross-functional coordination, and supports operational efficiency through meticulous data management and reporting. The ideal candidate is a proactive problem-solver who thrives in a fast-paced environment and possesses the technical aptitude to manage complex ERP workflows.

Requirements

  • 1–3 years of experience in maintenance coordination, operations support, finance, or system administration.
  • Advanced skills in Microsoft Office Suite (Excel is a must); ability to quickly master internal ERP platforms.
  • Strong analytical skills with the ability to investigate root causes of system errors.
  • Exceptional time-management skills and the ability to juggle multiple priorities without missing a beat.
  • Effective verbal and written communication skills for collaborating with diverse internal teams.
  • High level of discretion when handling sensitive financial or operational data.
  • Proven ability to work autonomously with minimal supervision while meeting strict deadlines.
  • Intermediate proficiency in Excel (e.g., VLOOKUPs, pivot tables, data sorting).
  • Valid work authorization in the country where the job is located is required.
  • Successful candidates will be required to provide valid documentation confirming their eligibility to work in the country where the job is located prior to their start date.

Nice To Haves

  • Post-secondary education in Business Administration, Finance, or a related field is considered a strong asset.
  • Prior experience with M5 or similar ERP/maintenance management software is highly preferred.

Responsibilities

  • Provide daily administrative support within the M5 system, including meticulous data entry, asset updates, and maintenance record management.
  • Audit and maintain the accuracy of maintenance contracts, billing information, and operational records to ensure seamless financial and fleet reporting.
  • Generate routine and ad hoc reports to assist Finance, Operations, and Leadership teams in making data-driven decisions.
  • Investigate and reconcile discrepancies within system data; troubleshoot basic M5 process issues and escalate technical concerns to IT when necessary.
  • Create and maintain organized documentation for maintenance processes, system updates, and standard operating procedures (SOPs).
  • Assist in training team members on M5-related workflows to ensure standardized system usage across the department.
  • Proactively identify opportunities to enhance reporting accuracy, streamline workflows, and improve overall departmental efficiency.
