About The Position

The Maintenance & Damage Manager is responsible for the overall performance of the preventative maintenance and service repair of fleet vehicles as well as overall inventorying, sourcing, ordering and distribution of parts, tires and other supplies to maximize fleet utilization and profitability for the City/District. This role involves developing and implementing operating plans, managing team performance, assessing daily workloads, ensuring repair orders and warranty submissions meet guidelines, and forecasting/budgeting financial drivers. The manager also oversees vendor relationships, ensures proper use of purchase orders and timely invoice processing, and manages the repair and maintenance of buses at bussing locations. A key aspect of the role is managing the employee lifecycle, fostering a high-performance culture through hiring, training, recognition, and performance management, while also ensuring employee relations are handled consistently and fairly. Additionally, the manager is responsible for providing a safe work environment by ensuring all safety policies and practices are followed.

Requirements

  • High School diploma required
  • Minimum of 2 years management experience of employees in related field (rental car, automotive shop or service oriented field)
  • Valid driver’s license and successful background check
  • Ability to work flexible schedules in a fast-paced environment that may include early morning, nights, or weekends, as determined by business needs
  • Ability to lift 50 pounds and oversee multiple work areas
  • This position requires regular, on-site presence and cannot be performed remotely

Responsibilities

  • Develops, implements and communicates operating plans to maximize fleet utilization to business and company guidelines.
  • Directs and controls the preventative maintenance and service repair of fleet vehicles.
  • Sources and orders parts, controls inventory, returns obsolete or overstocked parts and replenishes inventory of common usage parts/tires.
  • Manages performance of team members/employees against business plan by setting, communicating, monitoring and updating goals for key performance indicators on a regular and consistent basis for service, including technician productivity, percent out of service, warranty recovery versus parts and labor and overdue idle cars.
  • Assesses out of service area on a daily basis to establish daily workload; holds daily pre-shift meetings with team members to review prior day performance and communicate daily workload and goals.
  • Ensures all repair orders are completed and processed in accordance with established guidelines.
  • Ensures warranty submissions meet or exceed business plan and all required documentation is submitted.
  • Ensures timely completion of recalls, preventative maintenance and quality of vehicle repairs.
  • Forecasts, budgets and manages key financial drivers including S&W per day and warranty recovery.
  • Oversees the ordering of parts, tools, and supplies.
  • Manages and maintains appropriate vendor relationships and workload assignment, ensuring established service levels and quality standards are met and that all vendor management policies and procedures are followed.
  • Ensures proper use of purchase orders, receipt of services and/goods, timely submission of invoices for approval and the timely payment of invoices.
  • Maintains up to date files on vendor insurance policies.
  • At bussing locations, oversees the repair and/or maintenance of all busses for the operation.
  • Manages all areas of the employee lifecycle including hiring, on-onboarding, training, recognition and performance management of both managers and employees to enable a high performance culture.
  • Supervises, develops, motivates, recognizes and evaluates the performance of manager and employee staff to enable a high performing culture.
  • Manages all facets of employee relations, including implementing HR policies and practices in a consistent and fair manner, in accordance with Company policies and partnering with Human Resources Business Partners where appropriate.
  • Provides a safe work environment by ensuring all safety policies and practices are followed and maintained.
  • May be required to perform other duties as assigned.
