About The Position

The Maintenance Administrative Coordinator supports the maintenance department by managing maintenance documentation, SAP entries, and administrative tasks to keep maintenance operations running smoothly and accurately.

Requirements

  • High School diploma.
  • 2+ years of office experience.
  • Proficiency with Word, Excel, and SAP.
  • Strong organizational and time-management skills.
  • Ability to work independently and collaborate with cross-functional teams.

Nice To Haves

  • Experience in a maintenance, industrial, or plant operations environment is preferred.
  • Familiarity with work order processing, purchasing, or AP workflows.

Responsibilities

  • Process and file work orders, invoices, goods receipts (GRs), and purchase requisitions.
  • Close completed work orders and TECO them in SAP.
  • Enter technician time and upload completed work orders into the filing system.
  • Create work orders, requisitions, and update BOMs, functional locations, equipment, and PMs in SAP.
  • Generate daily reports of scheduled vs. actual work.
  • Update P&IDs in SAP using redline drawings.
  • Manage boiler licenses and permits and upload required documents.
  • Support Accounts Payable by ensuring timely invoicing and GR processing.
