About The Position

The Maintenance Administrator Supervisor is responsible for overseeing the admin buying/purchasing team supporting maintenance. The Maintenance Admin Supervisor will follow the procurement process working in collaboration with the purchasing team and supply chain. Following the request for proposal process, reviewing purchase orders and invoices, ensuring parts are on hand and inventory levels are maintained, coordinating with both facilities, and ensuring processes and procedures are followed consistently.

Requirements

  • Minimum 5 years of purchasing and project management experience in maintenance, manufacturing, or related field.
  • High proficiency with Microsoft Office programs, including Excel, Outlook, Word, and Teams.
  • Detail orientated with strong organizational, analytical and problem-solving skills.
  • Maintain good attendance and ability to use timekeeping system to accurately track time.
  • Working knowledge of ERP systems, especially Microsoft Dynamics Nav/Business Central
  • Dependable, great attitude, highly motivated, self-starter, proactive thinker, team player, and strong work ethic
  • Excellent written and verbal communication skills, including the ability to effectively communicate.
  • Strong organizational and planning skills with the ability to prioritize and manage a demanding workload involving multiple tasks with competing priorities, responsibilities, and tight deadlines with follow-through and minimal supervision.
  • Self-motivated

Responsibilities

  • Active participation in Wawona Frozen Foods' Safety program to maintain a healthy and injury-free environment.
  • Participate in training and company meetings to facilitate individual and company growth.
  • Compliance with all GMP, HAACP, Food Safety, Food Defense, and SQF policies and procedures.
  • Maintains a good attendance record to ensure that there is no interruption to production or services to our customers.
  • Wears all required personal protective equipment.
  • Communicates with internal and external customers/vendors to ensure equipment is on hand, prepared and priced correctly for projects and preventative maintenance.
  • Oversees parts rooms, equipment, tools and boneyards to ensure correct ordering, procurement, use of all parts, and tracking to keep accurate counts for maintenance needs.
  • Update preventative maintenance calendar to ensure project management and completion.
  • Manage the MPulse system, ensuring consistency across facilities, priority, and project completion. Reports to leadership on status, tracking, and days to close.
  • Coordination with accounting, supply chain, and purchasing team.
  • Keeps accurate record keeping, saving, filing, and accurate vendor files, pricing, and records for maintenance/refrigeration team.
  • Ensure purchase orders are entered into the ERP system, and invoicing is sent to accounting for payment.
  • Ensures bid process and procurement process is consistent for all purchasing of parts.
  • Supplies Security team with accurate vendor contact information to ensure vendor information is kept up to date to send out vendor packets and collect insurance.
  • Perform cost analysis of vendors, projects, capex projects, and tracking for leadership.
  • Utilizes project management tools to ensure project tracking and completion.
  • Develop and upkeep a good relationship with current vendors and find new vendors
