About The Position

The Mailroom and Document Processing Leader is responsible for overseeing daily operations of Strada’s imaging and mail facility. This role ensures timely, accurate, and cost-effective production, distribution, and storage of both digital and physical documents. The position requires a strong leader who can drive operational excellence, uphold compliance standards, and develop a high-performing team, including third-party vendors.

Requirements

  • Bachelor’s degree in Business, Operations Management, or related field preferred.
  • Minimum 5 years of experience in imaging/mail operations, with at least 2 years in a leadership role.
  • Strong knowledge of imaging and mail production equipment, workflows, and systems.
  • Proficiency with Microsoft Office and production management systems.
  • Proven ability to lead and motivate teams in a fast-paced environment.
  • Strong organizational, time management, and problem-solving skills.
  • Demonstrated ability to make sound decisions and manage operational priorities.

Nice To Haves

  • Lean Six Sigma, OSHA, or other process/safety certifications preferred.

Responsibilities

  • Manage end-to-end imaging and mail operations, including scheduling, production, quality control, distribution, and document retention schedules.
  • Coordinate with and manage day-to-day operations of Strada third-party vendors supporting the print, mail, imaging, and physical storage solutions.
  • Ensure all deliverables meet client specifications, deadlines, and regulatory requirements.
  • Monitor equipment performance, coordinate maintenance, and minimize downtime.
  • Lead, train, and develop a team of technicians and support staff.
  • Foster a culture of safety, accountability, and continuous improvement.
  • Conduct performance reviews and adjust staffing levels to align with workload.
  • Implement and maintain standard operating procedures (SOPs).
  • Drive process improvements to enhance efficiency and reduce costs.
  • Ensure compliance with HIPAA, SOC, and other relevant industry standards.
  • Partner with internal departments and external vendors to ensure seamless operations.
  • Address internal and client inquiries and resolve service-related issues.
  • Track, analyze, and report on key performance indicators (KPIs) such as turnaround time, error rates, and cost metrics.
  • Provide operational reporting and insights to senior leadership.
