About The Position

The Mail Services Coordinator helps empower CRISTA to meet its mission by supplying excellent attention to detail and outstanding customer service to the staff and residents of the Shoreline campus. The Mail Services Coordinator will efficiently process high volumes of mail as well as incoming and outgoing packages.

  • High school diploma or equivalent.
  • Proficient in Microsoft Office Suite, including Excel, Word and Outlook.
  • Ability to lift heavy items (up to 25 lbs) on a frequent basis.
  • Ability to stand for long periods of time and walk up and down stairs.
  • Requires an appropriate personal vehicle available for mail pickup and delivery and a clean driving record.
  • Work independently, efficiently and professionally with a wide variety of personality types.
  • Possesses exceptional adaptability and is adept at making real-time adjustments to navigate dynamic and evolving situations effectively.
  • Demonstrates a capacity for autonomy, adeptly prioritizing tasks based on urgency and estimated completion time, while proactively maintaining visibility to supervisors.
  • Able to work collaboratively with supervisor, coworkers, and customers.
  • Ability to pass background checks relating to DSHS Secretary’s List of Crimes and Negative Actions. ( WAC 388-113 ).

Nice To Haves

  • Prior experience with mailroom machinery, including copier, inserter and postage meter.
  • Working knowledge of Unit4 Business World On (or other ERP software)
  • Demonstrated good judgment skills.
  • Organize multiple tasks into efficient systems of operation and monitor progress
  • Communicate effectively with students, parents, and staff.

Responsibilities

  • Provide excellent customer service in both verbal and written communications with internal and external customers.
  • Pick up, sort and deliver all incoming CRISTA mail per agreed upon schedules.
  • Pick up, sort and meter outgoing CRISTA mail per agreed upon schedules.
  • Daily preparation of UPS shipments per agreed upon pick up schedule.
  • Determine the most cost-effective route of mailing packages or expedited envelopes either by USPS or UPS.
  • Be familiar with mailing regulations and pricing and apply these to mail sent by CRISTA.
  • Run monthly postage meter reports and reconcile postage accounts as assigned.
  • Propose improvements and modifications to the mail delivery and copy center service systems of CRISTA.
  • Scan invoices received in the mail to Accounts Payable.
  • Work collaboratively with supervisor, coworkers, and customers.
  • Perform other related duties as assigned.
