We are seeking an experienced, reliable, and detail-oriented Mail Room Specialist to oversee and manage all mail room operations. This role is critical to ensuring the secure, accurate, and timelyhandling of incoming and outgoing mail, packages, freight, and sensitive materials across the organization. The ideal candidate brings 10+ years of hands-on mail room experience, thrives in a fast-paced operational environment, and demonstrates exceptional attention to detail, discretion, and accountability. Being proactive, thorough, and able to think on your feet are key to success in this role.

Requirements

  • 10+ years of professional experience managing a corporate or large-scale mail room or mail operations function.
  • Previous shipping, receiving, and customer service experience, preferably in a manufacturing, construction, or operational environment.
  • Strong data entry skills and comfort using modern technology, including laptops, scanners, and tracking systems.
  • Demonstrated experience operating EPJ, forklifts, or similar equipment safely and efficiently.
  • Exceptional attention to detail with the ability to manage time-sensitive materials.
  • Strong organizational, time-management, and problem-solving skills.
  • Possess a “get it done” attitude with urgency to resolve issues independently.
  • Excellent communication and interpersonal skills.
  • Ability to work independently in a structured, high-accountability environment.
  • Ability to work 40 hours per week minimum with reliability and consistency.
  • Ability to lift up to 50–55 lbs unassisted.
  • Ability to perform repetitive tasks while standing for extended periods of time.
  • Flexibility to support extended hours during peak shipping or operational periods.

Responsibilities

  • Receive mail, packages, and freight of various types from delivery vehicles.
  • Manage all incoming and outgoing mail, including USPS, FedEx, UPS, DHL, certified mail, and courier services.
  • Sort materials into designated locations based on provided routing and delivery information.
  • Distribute time-sensitive materials to correct recipients both on-site and off-site.
  • Prepare outgoing shipments, including labeling, documentation, and carrier compliance.
  • Operate and maintain mail room equipment such as postage meters, scanners, copiers, carts, and tracking systems.
  • Process incoming packages in package tracking systems for pickup or delivery.
  • Ensure packages are delivered to or picked up by authorized personnel within designated timeframes.
  • Coordinate high-volume shipping, freight handling, and special handling requests (fragile, oversized, classified, or international).
  • Troubleshoot problem shipments using tracking systems, carrier coordination, and internal communication.
  • Manage mail room supply inventory and ensure continuous operational readiness.
  • Safely and efficiently operate material-handling equipment, including EPJ, forklifts, dollies, and other loading dock equipment as required.
  • Comply with all company safety policies and procedures.
  • Maintain a clean, organized, and secure mail room and loading dock environment.
  • Ensure adherence to company policies, security procedures, and export control requirements.
  • Handle sensitive and confidential documents and materials with discretion and accuracy.
  • Identify and escalate suspicious, damaged, or non-compliant packages per company protocol.
  • Serve as a dependable point of contact for mail- and shipment-related inquiries across departments.
  • Coordinate with facilities, security, and workplace teams as needed.
  • Support site activities, internal logistics, and special projects as assigned.
