About The Position

The Machinery Parts & Services Administrator supports the Heat Seal Machinery department by coordinating parts orders, service calls, and customer support activities. This role serves as a key connection between customers, suppliers, and internal teams to ensure timely service, accurate order processing, and high-quality support.

Requirements

  • prioritize workload and effectively multitask
  • proficient in Microsoft Word, Excel, Outlook, and ERP systems
  • strong customer service and communication skills
  • proactive with decision-making and problem-solving
  • can read and understand BOMs and schematics
  • strong understanding of mechanical systems
  • experience troubleshooting or working with complex machinery (including pneumatics and mechanical systems)
  • 3–5 years of business-to-business customer service or field service experience

Nice To Haves

  • supply chain or logistics experience

Responsibilities

  • Coordinate parts orders and service calls for machines in the field
  • Answer calls and work directly with customers and account managers to troubleshoot and resolve issues
  • Quote, schedule, and process parts orders, replacements, and service requests in a timely manner
  • Manage expedited orders when necessary
  • Process customer complaints, returns, and credits
  • Maintain and manage both current and legacy parts inventory
  • Monitor back orders and work with suppliers to ensure timely fulfillment
  • Inspect incoming and outgoing parts to ensure quality standards are met
  • Support both internal and external customers with parts and service needs related to machinery and heat seal tooling
