About The Position

The Architecture & Engineering (A&E) Division is seeking a highly organized, technically capable professional to serve as a Long-Range Building Program Coordinator. A&E manages the full life cycle of state facility projects, including the design, construction, repair, and alteration of buildings used by state agencies and the Montana University System. In this position, you will help ensure the State has reliable information to understand facility needs, prioritize investments, and plan for the future of public buildings across Montana. You will serve as a central point of coordination for the Statewide Facility Condition Assessment (FCA) Program and provide key support for the Long-Range Building Program (LRBP), the State’s process for planning and prioritizing capital investments in state facilities. Working closely with the A&E Planning Manager, state agencies, university system staff, consultants, and other partners, you will coordinate facility assessments; manage facility inventory and assessment data; support reporting and planning efforts; and assist with capital development and feasibility planning studies. This role combines data and systems administration, stakeholder coordination, planning support, and project management. The Division will provide training on its systems. The successful candidate will bring strong technical aptitude, an interest in learning new tools, and the ability to keep complex projects, information, and relationships organized.

Requirements

  • Bachelor’s degree in Architecture, Architectural Engineering, Engineering, Construction Management, Project Management or related condition assessment field
  • Two (2) years applicable experience
  • Alternate combinations of education and experience will be considered on a case-by-case basis.
  • Comfortable working with facility data, technology systems, planning processes, and a wide range of stakeholders.
  • Eager and able to learn new software and apply it confidently.
  • Knowledge of Facility condition assessment practices and methodology.
  • Basic understanding of building construction and building systems, including mechanical, electrical, plumbing, structural, architectural, or energy-related systems.
  • Knowledge of Construction project and contract administration principles.
  • Knowledge of Economic, safety, efficiency, and lifecycle considerations affecting public facilities.
  • Knowledge of Construction-related project data, building systems information, and facility assessment results.
  • Demonstrate strong technical proficiency and the ability to quickly learn, configure, manage, and maintain software systems and data tools.
  • Work confidently with data, including understanding how database information is structured, connected, maintained, and reported.
  • Use Microsoft 365 tools—especially Excel, Word, Outlook, Teams, and SharePoint—to organize, analyze, track, and report information.
  • Prepare clear, accurate, well-organized reports, summaries, planning materials, and publications.
  • Manage multiple assignments while keeping priorities, deadlines, and details on track.
  • Coordinate effectively with agencies, consultants, campuses, and other stakeholders.
  • Use tact, diplomacy, sound judgment, and discretion to build productive working relationships.
  • Communicate professionally and clearly, both verbally and in writing.
  • Build consensus among stakeholders with different priorities and perspectives.
  • Identify emerging issues, risks, and trends, and help develop practical strategies to address them.

Nice To Haves

  • Experience with facility data systems, databases, GIS, ArcGIS, Archibus, or similar tools is preferred.
  • Familiarity with facility condition assessments and facility condition index interpretation is preferred.

Responsibilities

  • Coordinating statewide facility condition assessment activities, schedules, communications, and consultant work.
  • Maintaining facility inventory and assessment data systems, including data quality, user support, reporting, and system configuration.
  • Gathering, organizing, validating, and tracking facility and maintenance information from agencies, campuses, and consultants.
  • Supporting the LRBP cycle by managing project requests, maintaining project lists, preparing planning materials, and helping develop six-year capital plan information.
  • Assisting with LRBP project submissions, agency portal entries, reports, and the Long-Range Building Program publication.
  • Supporting capital development and feasibility planning studies, including scope, schedule, budget, consultant coordination, and project documentation.
  • Helping support the State’s energy program through consultant coordination and documentation.
