About The Position

This role combines customer service, purchasing support, and hands-on receiving and materials movement in a small, collaborative office next to a manufacturing site in Tracy, CA. The Logistics Specialist supports customer order processing, shipping documentation, receiving, inventory management, and procurement activities while working closely with multiple teams. This position is ideal for someone who enjoys both administrative and operational work, is eager to learn, and is willing to cross-train across functions. The role offers strong growth potential into either Customer Service or Receiving/Purchasing based on performance, initiative, and career interests.

Requirements

  • Strong attention to detail and organizational skills to manage multiple tasks while maintaining accuracy.
  • Excellent verbal and written communication skills for interacting with customers, suppliers, and internal teams.
  • Proficiency with Microsoft Excel and Microsoft Word for data entry, reporting, and documentation.

  • Ability to work with shipping and receiving documentation such as bills of lading and shipping labels.

Responsibilities

  • Assist with customer order processing, including entering orders accurately and maintaining complete order documentation.
  • Accept, review, and confirm customer orders, ensuring all information is correct and aligned with internal processes.
  • Create shipping paperwork, including packing slips, shipping labels, and bills of lading, to support accurate and timely shipments.
  • Support customer communication by providing order status updates, assisting with order tracking, and responding to inquiries in a professional manner.
  • Maintain accurate records and documentation within company software systems, including ERP and other business management tools.
  • Shadow and train with the Receiving team to learn all receiving functions and standard operating procedures.
  • Receive, verify, and organize incoming materials and shipments, ensuring quantities and documentation match purchase orders.
  • Move materials between warehouse and cleanroom (Fab) environments while following proper handling procedures.
  • Apply work instructions, labels, and other required documentation to materials to ensure proper identification and traceability.
  • Ensure materials are correctly staged, tracked, and stored to support efficient production and inventory control.
  • Maintain proper segregation of inventory and materials to prevent mix-ups and ensure accuracy in inventory flow.
  • Learn purchasing and procurement processes, including how to create and track purchase orders.
  • Assist with supplier orders and purchasing-related tasks, supporting materials planning and coordination with vendors.
  • Help maintain accurate purchasing records within business management and ERP software, including purchase orders, receipts, and related documentation.
  • Perform general administrative and clerical support tasks such as filing, scanning, and data entry related to logistics, shipping, and inventory.
  • Collaborate with transportation and freight partners by preparing necessary documentation and supporting logistics coordination.
  • Support continuous improvement in logistics, inventory, and administrative processes by identifying issues and suggesting solutions.
