About The Position

This role ensures that all international product shipments comply with Company policy, laws, and contractual requirements. The Logistics Coordinator computes duties, tariffs, and weight, volume, and price conversions of merchandise exported to or imported from foreign countries. The position involves managing and coordinating transports with approved carriers, managing all parts and kitting activities on the dock for shipment, and reviewing shipment materials before kitting. The role also includes collaborating with Shipping & Receiving, ordering transports, negotiating prices and terms with suppliers, and preparing all required transport documents. Communication with other departments, customers, and transporters is essential. The coordinator is responsible for preparing shipping invoices for customs purposes, managing related processes, improving overall supply chain performance, managing inventory, and overseeing the storage of parts and goods. They will plan, coordinate, and oversee the movement of goods, ensure smooth handover of shipping documents and photos to the Project Manager, liaise with Project Managers for shipping schedules, and manage orders stored off-site. Additionally, the role requires confirming HTS codes for items leaving the United States, tracking all orders to delivery, ensuring PODs are available, identifying and reporting safety observations, and maintaining logs and records of warehouse stock and executed orders.

Requirements

  • Ability to read, write, and speak English fluently.
  • Ability to work effectively under tight deadlines.
  • Strong excel skills including the following functions: all basic arithmetic formulas, “if” formulas, “count” formulas, “vlookup” formula, sorting and auto filters, pivot table functions, and various charts/graphs.
  • Strong critical thinking and problem-solving skills.
  • Familiarity with “Lean” process and “Six Sigma” principles in administrative processes.
  • Bachelor-level degree and/or combination of education and experience with a business or international logistics emphasis.
  • Proven 3-5 years previous experience as logistics coordinator.
  • Knowledge of laws, regulations, and ISO requirements
  • Excellent communication and interpersonal skills
  • Outstanding organizational and coordination abilities
  • Maintain IMI certified Forklift licensing required for loading and unloading materials.

Responsibilities

  • Managing and coordination of transports with approved carriers.
  • Managing of all parts and kitting activities on the dock for shipment (obtain kit lists from engineer, ensure we have the necessary packaging for each project)
  • Reviewing shipment materials before kitting (materials available)
  • Verify Kitting of all components with Photos that will be stored in project folder.
  • Collaborating with Shipping & Receiving and oversee the materials coming in and going out daily.
  • Ensures POs are received and closed once incoming inspection is complete.
  • Ordering of transports, negotiation about prices and terms
  • Negotiations with suppliers and monitor shipping costs.
  • Preparation of all required transport documents
  • Communication with other departments (planning, store, assembly)
  • Communication with customers and transporters
  • Preparation of shipping invoice for customs purposes
  • Managing of all related processes (support of selection procedure, issuing of orders; checking of agreed purchasing conditions
  • Improving overall supply chain performance.
  • Managing inventory.
  • Manages storage of parts and goods arriving.
  • Planning, coordinating, and overseeing the movement of goods.
  • Ensure smooth handover of all shipping documents and photos to the Project Manager.
  • Liaison with all Project Managers for shipping schedules.
  • Manage orders that are or near completion and stored off-site at other locations.
  • Confirm all HTS codes for items leaving the United States
  • Track all orders to delivery and ensure PODs are available to the Project Managers for invoicing purposes.
  • Identify and report all safety observations on a daily basis.
  • Maintain logs and records of warehouse stock, executed orders, etc.
