About The Position

The Local Operations Manager is responsible for directing and managing the daily workload of their Service Center from an Operational and Warehousing perspective, ensuring that their Service Center is organized, efficient, and effective in delivering service excellence. This role involves communicating daily with the Local Operations Director to control and maximize workload, planning and dispatching to achieve maximum asset utilization and IVL productivity standards. The manager reviews all paperwork with the crew to ensure they are properly prepared for the day's work and fully understand productivity expectations and customer requirements. They provide direct, accurate, and complete directions for all crews to ensure the most cost-effective routes. Responsibilities also include accepting and registering new shipments, clearing shipments for SIT, coordinating with Van Lines Operations, and overseeing warehouse operations to ensure cleanliness and compliance with inspections. The role requires managing and maintaining staffing through recruiting, hiring, and retaining skilled employees, problem-solving customer service issues, documenting issues, and assuring proper procedures for payment collection. Additionally, the manager assists with maintenance records, dispatch paperwork, tracking mileage, arranging labor, and reviewing paperwork for short-haul drivers, while also maintaining the cashbox and settling it twice weekly. The position is responsible and accountable for terminal profit and loss.

Requirements

  • Ability to dispatch and coordinate the functions of the operations division in the local wash metro area, through the use of manpower and trucks.
  • Must be flexible and able to deal with a change or changes in a courteous, efficient, and knowledgeable manner.
  • Must demonstrate sound judgment, be self-motivated, and well organized.
  • Able to withstand pressure and high stress levels.
  • Beginner Level minimum requirement in Microsoft Word, Excel and PowerPoint (Intermediate Level or higher preferred).
  • Minimum keyboard skill level of 40 wpm.
  • Must be able to handle a multitude of functions in a fast-paced environment.
  • One year certificate from college or technical school; or two to three years related HHG management experience and/or training; or equivalent combination of education and experience.
  • Valid Driver's License
  • Valid CDL A License or ability to obtain CDL A License within 6 months of employment
  • Ability to obtain Commonwealth of Virginia Weigh Master Permit
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Regularly required to sit and talk or hear.

Responsibilities

  • Directing and managing the daily workload of the Service Center from an Operational and Warehousing perspective.
  • Ensuring the Service Center is organized, efficient, and effective in delivering service excellence.
  • Communicating daily with the Local Operations Director to control and maximize workload, planning and dispatching to achieve maximum asset utilization and IVL productivity standards.
  • Reviewing all paperwork with the crew to ensure they are properly prepared for the day's work and fully understand productivity expectations and customer requirements.
  • Providing direct, accurate, and complete directions for all crews to ensure the most cost-effective routes.
  • Accepting and registering new shipments from foreign carriers, ensuring a current signed Compensation Agreement is in place.
  • Clearing shipments for SIT.
  • Coordinating with Van Lines Operations to ensure all shipments are assigned and picked up within the service area.
  • Reviewing daily paperwork with each Crew Leader for completion and accuracy before processing to accounting.
  • Planning, scheduling, and managing daily activity for warehouse operations.
  • Overseeing warehouse operations and ensuring the warehouse and surrounding lot are clean, orderly, and able to pass fire, DOD, and DOS inspections.
  • Obtaining weights for shipments and ensuring the facility meets requirements for a Certified Public Scale.
  • Managing and maintaining staffing through recruiting, hiring, and retaining skilled employees and/or contractors.
  • Problem-solving to provide excellent customer service, interacting with service providers and customers by phone and email.
  • Documenting customer service issues according to company policies.
  • Assuring that proper procedures are followed to collect payments from customers.
  • Assisting in the maintenance of records, dispatch paperwork, tracking mileage, arranging labor, and reviewing paperwork upon job completion for Short-haul drivers.
  • Notifying management of any mistakes or discrepancies found.
  • Maintaining the cashbox and settling the box twice weekly with the Accounting Department.
  • Being responsible and accountable for terminal profit and loss.
  • Directly supervising up to 250 employees in the Local Dispatch Department.
  • Carrying out supervisory responsibilities in accordance with the organization's policies and applicable laws, including planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.
