About The Position

The Loan Operations Collateral Specialist II is responsible for supporting lien perfection and collateral documentation accuracy for commercial and consumer loan files, with a primary focus on real property title work, recorded real estate documents, UCC filings, continuations, amendments, terminations, and collateral releases. This position coordinates with title companies, county recording offices, UCC vendors, internal loan teams, and outside parties to confirm that the Bank’s lien position is properly documented, perfected, tracked, and released in accordance with loan approvals, closing instructions, internal policy, and applicable legal and regulatory requirements.

Requirements

  • High School diploma or GED, some college preferred
  • Six months of job-related experience preferred, preferably in the financial industry
  • Be of good character, work ethics and self-starter.
  • Strong attention to details and accuracy, organization and analytical skills, good time management and excellent follow up skills.
  • Responsive to requests and timely completion of tasks.
  • Proficient with Microsoft Office applications preferred (Teams, One-Drive, Word, Excel, and Outlook)
  • Must be able to work under pressure and meet deadlines while maintaining a positive attitude and exemplary customer service
  • Working knowledge of lien perfection concepts, including real property title work, recorded real estate collateral documents, UCC filing requirements, continuation deadlines, termination processes, collateral releases, and post-closing exception resolution.
  • Strong written and verbal communication skills, with the ability to clearly document collateral deficiencies, title issues, UCC filing discrepancies, release requirements, and follow-up activity.

Responsibilities

  • Support lien perfection activities for new, renewed, modified, and paid-off loans by reviewing, tracking, imaging, and maintaining collateral documentation related to real property and UCC-secured collateral.
  • Monitor post-closing lien perfection exceptions and coordinate with title companies, UCC/recording vendors, county clerk offices, closing teams, bankers, and loan operations partners to obtain missing, corrected, or final collateral documentation.
  • Track and resolve lien perfection items including title commitments, title binders, final title policies, recorded deeds of trust or mortgages, assignments, modifications, subordinations, releases, UCC-1 financing statements, UCC-3 amendments, continuations, assignments, and terminations.
  • Review real property title work for completeness and consistency with loan approval, collateral description, borrower/guarantor structure, vesting, legal description, lien position, endorsements, exceptions, and closing requirements; escalate discrepancies that may affect the Bank’s lien priority or enforceability.
  • Review UCC filing records to confirm debtor name, secured party name, collateral description, filing jurisdiction, filing date, lapse date, continuation requirements, amendments, assignments, and termination activity are accurate and properly documented.
  • Image, index, and upload title policies, recorded instruments, UCC filing evidence, lien searches, release documentation, and related collateral records using accurate document names, descriptions, and retention categories.
  • Process paid-off and released collateral files by preparing, tracking, and confirming appropriate lien releases, deed of trust or mortgage releases, UCC terminations, title company requests, and collateral return documentation.
  • Maintain collateral and lien perfection tracking logs, including pending recordings, final title policies, UCC lapse dates, continuations, recorded releases, outstanding exceptions, and tickler follow-up activity.
  • Identify and communicate lien perfection risks timely, including missing final title policies, unreleased prior liens, incorrect vesting, legal description inconsistencies, rejected UCC filings, approaching UCC lapse dates, unresolved title exceptions, and incomplete release documentation.
  • Presents information both clearly and concisely and regularly confirms correct interpretation of information.
