The Loan Officer Assistant plays a crucial role in supporting originators by performing various activities to ensure complete loan files for submission. This role may encompass duties from the Lead to Contract and Contract to Close phases of the mortgage process.

Requirements

  • High school diploma or equivalent preferred.
  • At least two years of experience in Mortgage lending or a related field.
  • Active MLO licensing required.
  • Ability to manage multiple priorities.

Responsibilities

  • Act as a primary point of contact for customers regarding licensed activity for the loan officer.
  • Assist originators in setting appointments with prospective and new applicants.
  • Provide callbacks to new leads within 20 minutes and maintain a 35% conversion rate from lead to appointment.
  • Set and confirm appointments for originators and manage their calendars.
  • Provide administrative support by managing various client databases (lead tracker, MyCircle, Zillow, etc.).
  • Send new clients online pre-qualification links on behalf of the originator.
  • Assist the originator with obtaining an accurate and thorough 1003 application.
  • Analyze customer's credit and financial scenarios to determine appropriate loan product(s).
  • Run credit reports and AUS findings for loans assigned to an originator.
  • Prepare the Initial Fee Worksheet.
  • Pull and prepare web applications, update credit reports, and AUS findings.
  • Request status updates from pre-approved clients and referral sources.
  • Stay updated with company-approved programs and software systems, and implement new systems for the team and clients.
  • Provide marketing support by coordinating, creating, obtaining compliance approval, tracking, and distributing advertising materials.
  • Manage monthly compliance-approved email marketing to realtors.
  • Monitor key dates related to loan transactions and respond accordingly.
  • Send loan forms, disclosures, agreements, and other supporting documentation to customers for completion and signature, and manage the collection of these documents.
  • Manage assigned originator's database, tracking active loans and entering data as needed.
  • Maintain customer contact to ensure follow-up on loan applications and answer basic customer inquiries while providing quality customer service.
  • Support the collection and preparation of loan applications with supporting documentation for processing.
  • Order 4506T, SSA, Credit Supplements, AccountCheck, and Work Number as needed.
  • Prepare and submit loan applications to processing, assist in resolving file issues, and escalate processor conditions as required.
  • Assist processors in clearing conditions placed on loans.
  • Review Closing Disclosures (CD) to ensure fees and cash at closing are consistent with customer commitments.
  • Provide necessary assistance through the production and underwriting process.
  • Provide status updates to referral sources on active loans, subject to Guild’s policies on Consumer Privacy and Safeguarding of Information.
  • Answer customer inquiries related to active loans and/or loan application status.
  • Act as a primary point of contact for the customer, keeping them informed throughout the process, subject to Guild’s SAFE Act and Consumer Privacy/Safeguarding in Information policies.
  • Price loans in accordance with Guild’s policies and communicate fees to the operations team.
  • Quote rates and make commitments regarding locking to the customer.
  • Maintain referral source relationships through quick response time and excellent customer service.
  • Prepare and send thank you cards to referral sources and new clients.
  • Collect supporting documentation from customers and gather necessary documentation for pre-approval.
  • Discuss product features with customers.
  • Perform other duties as assigned.
