About The Position

The Loan Documentation Specialist II is responsible for generating loan documents related to consumers, commercial businesses and SBA lending with little to no supervision. The Loan Documentation Specialist II will ensure loan documentation complies with state and federal laws, regulations and bank lending policies and procedures. The Loan Documentation Specialist II is responsible for the integrity of all loan data in the bank, ensuring department activities run smoothly and efficiently and provides a high level of customer service. The position of Loan Documentation Specialist II reports to the Loan Services Manager. The Loan Documentation Specialist II will assist the Loan Services Specialists during staffing shortages, coverage issues or as instructed by management and is required to be fully knowledgeable and skilled in all areas of processing and servicing loans.

Requirements

  • High school diploma or certificate from college or technical school; or 3-4 years related experience and/or training; or the equivalent combination of education and experience.
  • Work related experience should consist of a credit or loan processing background.
  • Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.
  • Intermediate level of work experience, knowledge and training in all loan servicing activities and terminology.
  • Intermediate knowledge of related state and federal banking compliance regulations, and other Bank lending policies.
  • Intermediate knowledge of title policies and related loan regulations such as RESPA; HMDA; SBA requirements and other Bank lending policies on loans to directors.
  • Intermediate skills in computer terminal and personal computer operation; mainframe computer system; word processing, spreadsheet and specialty software programs.
  • Intermediate typing skills to meet production needs of the position.
  • Intermediate math skills; calculate interest, commissions, proportions, and percentages; balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; compute rate, ratio and percent, including the drafting and interpretation of bar graphs.
  • Effective oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees.
  • Ability to deal with difficult problems involving multiple facets and variables in non-standardized situations.
  • Good organizational and time management skills.
  • Ability to work with general supervision while performing duties.
  • Current California driver’s license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities.

Responsibilities

  • Reviews loan documentation requests and works with the credit assistants to prepare loan documents consistent with the loan terms and conditions as presented on the related loan approvals.
  • Documents various consumer and commercial loans while abiding by all state and federal banking regulations as well as the bank’s policies, procedures, and timing requirements as set for by the department’s service standards and by management.
  • Verifies that each loan documentation request has proper approval(s) and ensures that the necessary information is complete. Follows up with the credit assistants and loan officers to obtain missing data.
  • Confirms that each involved entity has the correct documentation filed with the Secretary of State and as required per the bank’s Business Entity Matrix.
  • Confirms each involved entity is in good standing with the Secretary of State and not on the OFAC list.
  • Uses proper judgement and source data when documenting collateral documents, such as Deeds of Trusts, Assignment of Deposit Accounts, Security Agreements and Assignment of Life Insurance documents.
  • Prepares Loan Estimates, Closing Disclosures, and any other documents necessary for TILA-RESPA Integrated Disclosure transactions.
  • Works with the Small Business Administration department to provide necessary documents, as requested.
  • Answers the telephone; responds to routine loan officer or customer inquiries relative to account balances, loan balances, payoff requests, and other loan information.
  • Cross-trains in all loan servicing functions.
  • May assist the Loan Services Specialists with loan boardings, callbacks, imaging, payoff demands, loan advances, payments, reports, customer service, and in other tasks as determined by management.
  • Operates computer terminal or personal computer to process loan activity, determine balances, and resolve problems within given authority.
  • Is able to document every type of loan that the bank makes with minimal assistance required.
  • Reviews basic prepared loan documents for accuracy.

  • Complies with all bank policies and procedures and all applicable government regulations including, but not limited to general lending regulations and TRID, staying current and knowledgeable of all policies, procedures and regulations related to the job functions and completing all assigned training on time, requesting additional training as needed to be proficient in all job responsibilities; cooperating with internal and external auditors and bank examiners by providing full cooperation and timely delivery of requested documentation and information; and reporting concerns about compliance to the Compliance Officer to enable prompt remediation.
  • Complies with Bank policies and procedures relating to the Bank Secrecy Act (BSA), and Anti Money Laundering (AML) and Office of Foreign Asset Control (OFAC) guidance. Report suspicious activity to the BSA Department through a Suspicious Incident Report (SIR).
  • Adheres to privacy and information security policies, and ensure all sensitive internal and external customer information is properly secured and safeguarded. Use secure methods delivering client and/or confidential data by email.
