About The Position

Under the direction of the Leave & Disability Manager, the LOA Administrator is responsible for managing all leave of absence processes as well as providing guidance for effective administration of our programs, policies, and procedures. This is a very critical role to the Human Resources (HR) department as the incumbent will be the subject matter expert and go-to person for team members and leaders across the enterprises. Assists with strengthen compliance practice, research of questions from our team members pertaining to leave policies and ensuring forms are collected, completed correctly, recorded, and in accordance with deadlines. ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Serves as subject matter expert for the leave programs in alignment with our HR and Legal departments. Is responsible for interpreting and administering leave programs and policies in accordance with applicable law. Provides extensive proactive case management, early intervention, risk management, and coordinates administrative aspects of leave cases to include tracking of hours used/taken, regular communication updates to stakeholders, and team members. Tracks and conducts necessary follow up on all LOA inquiries and approved leaves starting at time of request to the time employee returns to work. 2. Works closely with team members across the enterprises providing guidance, counsel, and education on leave policies, procedures, and programs ensuring team members understand eligibility and options while providing excellent customer service. Processes leaves in a timely and accurate manner, ensuring compliance with all applicable laws, regulations, and policies. 3. Manages leave cases to ensure all relevant completed medical documentation for timely review, processing, determination, and return to work. Approves and/or denies leave cases based on relevant medical information. Is responsible for entering and updating records, and appropriate notifications are made. Keeping accurate and detailed documentation records of all leave requests, approvals, and denials, and ability to speak knowledgably to each case handled. 4. Manages Workday Cases, workflow optimization, process consistency, email outreaches, and phone call messages for leave of absences within the determined service level expectations. 5. Submits EDD State Disability Claims for employees on leave of absence and timely coordinates disability benefits and pay. 6. Complies with HIPPA rules regarding authorized use, training, storage, and destruction of protected health information (PHI) are effectively executed. Maintains up-to-date knowledge and updates Human Resource staff on state and federal changes related to any regulated leaves. Ensures compliance with administrative documents. Practices enhanced privacy safeguards and mandatory training adherence. 7. Performs other duties as assigned to support the efficient operation of the department and continuous process improvement.

Requirements

  • Bachelor’s degree in applicable field and certifications required.
  • Minimum two (2) years of experience working within Human Resources managing leave of absence cases required.
  • Experience administering FMLA, CFRA, military, pregnancy disability, parental and personal leaves.
  • Must have managed a substantial portion of ER responsibilities rather than only providing limited or peripheral support.
  • Must have experience working with leave and accommodation case‑management systems, including the ability to navigate, track, and document cases accurately within the system.
  • Must have solid, comprehensive ownership of LOA case management (as opposed to partial or occasional involvement) is strongly preferred.
  • Knowledge of FMLA, USERRA, PDL, FEHA, Title VI, and ADA requirements.
  • Ability to analyze complex information and translate it to clear, actionable, and a comprehensive work plan.
  • High attention to detail, strong and effective organizational skills, customer service oriented, and able to manage a high volume of work while multi-tasking in a fast-paced deadline-driven environment.
  • Must be able to handle sensitive and confidential information in a professional manner.
  • Strong knowledge and understanding of disability management, return-to-work strategies, Americans with Disabilities Act Amendments Act (ADAAA) and related state and local statutes.
  • Demonstrated experience working in a high-volume, 24/7 environment with a high volume of accommodation cases.
  • Ability to analyze, problem solve, organize, and manage multiple priorities, and effectively follow up in a fast-paced environment.
  • Ability to build and maintain effective professional relationships through strong interpersonal skills including consistent demonstration of solid professional judgement.
  • Strong written and verbal communication abilities, including effective presentation skills at all levels of the enterprise including technical language with representatives from the Legal team.
  • Able to provide exceptional customer service by exhibiting a high sense of urgency, exceptional follow-up, and follow-through.
  • Must have meticulous attention to detail, critical thinking skills, and the willingness to accept constructive feedback.
  • Ability to manage multiple tasks in a deadline-driven environment.
  • Ability to examine documents for accuracy and completeness.
  • Ability to work independently as well as collaboratively within a team.
  • Ability to gather data, compile information, and prepare reports and/or presentations.
  • Solid skills in Microsoft Office programs, including Excel, Word, PowerPoint, Outlook.
  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.
  • A qualified candidate/employee must have a valid driver’s license with an acceptable driving record as determined by the company’s insurance carrier.

  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above.
