About The Position

The Live Events Technology Specialist serves as the primary technical lead for academic symposia, medical education events, and institutional ceremonies at NYU Langone Health System. This role demands expert-level proficiency across audiovisual production, hybrid event architecture, and real-time event operations spanning simple classroom setups to large-scale, multi-feed broadcast productions. The specialist collaborates directly with faculty, event organizers, and clinical leadership to ensure seamless, high-quality event delivery that reflects the institutions standards of excellence.

Requirements

  • BA or BS in Computer Science, Information Systems or a related discipline.
  • At least three years of event technology support experience, applications and infrastructure or an equivalent combination of education and work experience.
  • Work experience in healthcare and/or education or equivalent experience in complex organizations.
  • Good knowledge of personal computing, Mac and Windows, PC/Workstation LAN based systems, TCP/IP, end user infrastructure Support management tools, client functions and applications.
  • Strong consultative and communication skills, analytical ability, decisiveness, strong judgment, and the ability to work effectively with clients, IT management, staff and vendors.
  • Excellent interpersonal skills, and ability to understand the business and technical needs of the client as well as foster customer relationship building and deliver outstanding customer service.
  • Strong verbal and written communication skills; ability to communicate technical information to non-technical users; ability to work effectively with customers.
  • Ability to work in a fast paced environment, support multiple initiatives simultaneously, prioritize work to meet and or exceed established service levels and be dependable.

Nice To Haves

  • Familiarity with live event production methodologies and professional production hardware, including Analog Way Aquilon/Live Premier and/or Blackmagic ATEM video production platforms.
  • Experience with Crestron control systems for room automation and AV signal routing.
  • Knowledge of unified communications and videoconferencing platforms, including Webex, Zoom, and Microsoft Teams, in event support contexts.
  • Experience in a healthcare academic medical center or similarly regulated, high-visibility environment.

Responsibilities

  • Serve as the lead technical resource for live academic symposia, medical education events, and institutional ceremonies, encompassing in-person, virtual, and hybrid formats ranging from routine presentations to highly complex multi-stream productions.
  • Collaborate with event organizers to develop and execute detailed run-of-show documentation, ensuring precise coordination of all technical elements throughout each event lifecycle.
  • Conduct structured event intake sessions and needs assessments to define technical scope, resource requirements, and risk mitigation strategies in advance of each engagement.
  • Operate audiovisual, projection, lighting, and videoconferencing systems during live events; manage presentations, recordings, and real-time production adjustments.
  • Configure, operate, and troubleshoot all AV, projection, lighting, and conferencing equipment, devices, and systems to ensure mission-critical uptime throughout scheduled events.
  • Perform proactive equipment inspections, preventive cleaning, and minor repairs; escalate complex hardware issues through appropriate service channels.
  • Execute disciplined breakdown, removal, and secure storage of equipment following each event in accordance with asset management protocols.
  • Provide consultative guidance to faculty, staff, and event organizers on best practices for AV equipment use and event technology platform operation.
  • Deliver on-site coaching and real-time support to clients during events, ensuring confidence in platform operation and minimal disruption.
  • Respond to trouble calls and email inquiries in a timely manner consistent with defined service levels; maintain availability for scheduled events and urgent support requests.
  • Support video recording, post-production workflows, and content editing for archival, compliance, and distribution purposes as required.
  • Review daily and weekly event schedules to proactively coordinate technical staffing and resource allocation.
  • Maintain accurate records and service tickets utilizing institutional tools, including Resource Scheduler, Brightspace, and the Ivanti IT service management (ITSM) platform.
