About The Position

Siegfried Rivera is seeking an experienced Litigation Legal Assistant to join our Coral Gables office. This onsite position provides administrative and case management support throughout all phases of litigation. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities while ensuring accuracy, meeting deadlines, and delivering exceptional client service.

Requirements

  • Prior litigation legal assistant experience required.
  • Strong knowledge of court procedures, deadlines, and electronic filing systems.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • High level of accuracy and attention to detail.
  • Proficiency in Microsoft Office required.
  • Professional demeanor with strong interpersonal and client-service skills.
  • Ability to work independently while contributing effectively as part of a team.

Nice To Haves

  • Experience with NetDocuments, Curo365, and legal case management software preferred.

Responsibilities

  • Prepare engagement letters and assist with new matter intake and file opening procedures.
  • Run and review conflict checks.
  • Prepare new matter packages and maintain case files.
  • Enter and maintain client and contact information.
  • Monitor calendars, deadlines, and reminders.
  • Assist with time entry and expense submissions as needed.
  • Manage incoming phone calls and provide client updates as directed by attorneys.
  • Prepare and format legal documents, including motions, notices, discovery requests, witness and exhibit lists, subpoenas, and other litigation-related filings.
  • Organize court filings, ECF notices, and service lists.
  • Proofread, compile, e-file, serve, and distribute legal documents.
  • Monitor and resolve e-filing rejections.
  • Gather, label, and organize evidence and supporting documentation.
  • Maintain discovery logs and track outstanding discovery requests.
  • Prepare hearing, mediation, arbitration, and trial binders.
  • Organize trial boxes and electronic case files.
  • Draft routine correspondence to clients, courts, and opposing counsel.
  • Communicate professionally with clients, courts, opposing counsel, court personnel, and vendors.
  • Coordinate depositions, mediations, arbitrations, hearings, inspections, client meetings, and service of process.
  • Schedule and coordinate court reporters, videographers, interpreters, travel arrangements, and courtroom technology support.
  • Assist attorneys with trial preparation and ensure overall case readiness.
