About The Position

The Litigation and Claims Operations Specialist supports the legal department’s dispute resolution and legal operations functions by managing pre-litigation claims, coordinating litigation support activities throughout the duration of the filing, and completing other tasks as needed. This role will report to the Assistant General Counsel.

Requirements

  • Minimum 5 years of litigation support experience, preferably at a law firm or in-house legal department.
  • Strong organizational, analytical, and attention-to-detail skills.
  • Ability to work collaboratively as a member of a team and committed to promoting a positive culture.
  • Ability to effectively communicate and draft and review documents.
  • Ability to exercise sound judgment and escalate or seek clarification as needed.
  • Goal-oriented with the ability to multi-task under pressure in fast-paced work environment
  • Problem solving skills.
  • Self-starter mentality who has the ability to work independently with limited oversight.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).

Nice To Haves

  • Experience working with TPAs on pre-litigation claims as well as any mass tort background or experience preferred.

Responsibilities

  • Serve as a central administrative point of contact for dispute-related matters, tracking matter statuses, deadlines, budgets, next steps, and responsible parties.
  • Manage pre-litigation claims in coordination with the Third-Party Administrator (TPA), including evaluating liability exposure, determining strategy, and providing settlement authority to resolve pre-litigation claims.
  • Serve as the main point of contact for any incoming subpoenas and regulatory inquiries. Independently evaluate initial scope, determine affected internal business units, and coordinate response logistics.
  • Provide litigation support, including assisting with responding to discovery requests under attorney supervision and organizing and managing electronic and physical files.
  • Draft and finalize legal hold orders under attorney supervision. Issue, track, and audit compliance for legal hold orders and custodian releases.
  • Audit and process invoices for payment, including coordinating with outside counsel / vendors, TPAs, and Accounts Payable to set up accounts, monitor payment statuses, and resolve any billing discrepancies.
  • Complete special projects and other responsibilities, as assigned.
