About The Position

Position dedicated to supporting the diverse needs of the physicians within Meadville Medical Centers hospital employed physician practices. Provide training, support, quality assurance and assistance with clerical and clinical support to our practices for optimal patient care. Supervisory role to include trouble shooting/problem solving and helping with resolution to problems and concerns, organizing the practices, training as needed on EMR software, assisting with DNV and DOH standards and audits, medication sample management and assisting management with process improvement plan follow up and retraining. Analytical skills and problem solving to determine coordination with other technical areas as appropriate. Works closely with Medical Practice Managers and VP of Physician Services

Requirements

  • Must be a high school graduate.
  • Must have additional medical training as a MA or LPN or with a minimum of two years’ experience in related field.
  • Must possess great attention to detail.
  • Must be able to accurately type 40wpm and be efficient with data entry equipment.
  • Must have the ability to apply appropriate rules of grammar, spelling and punctuation.
  • Knowledge of computers is a necessity.
  • Must possess the ability to prioritize activities, organize work and problem solve.
  • Communications skills both verbal and written must be above average to excellent.
  • Must be able to communicate with public sector by telephone use and in person.
  • Must be able to deal with anxious and angry people.
  • Must be able to communication with Administrative Staff, Managers, Attorneys, Physicians and all hospital staff with due respect and tact.
  • Current BLS Healthcare Provider card.

Nice To Haves

  • Past management experience a plus.

Responsibilities

  • Biweekly meetings to review insurance denials with billing team.
  • Takes information from those meetings and follows up with the staff.
  • Works with the billing staff to help resolve issues with registration complaints.
  • Keeps management updated with issues or concerns.
  • Identifies and mitigates compliance risks and informs appropriate administration.
  • Develops strategies for education of staff.
  • Develops and implements training materials.
  • May assist with creating policies with regards to training and compliance.
  • Maintains clear, concise documentation and training material including downtime procedures.
  • Provide end user follow up education.
  • Meets with all new employees to ensure proper training.
  • Works with Practice Managers if goals for staff are not being met and establishes improvement processes as needed.
  • Assists management in yearly competencies of front desk/clerical staff.
  • Provides staff with computer access for insurance companies.
  • Communicates and educates staff on system enhancements and updates. These include any insurance and IT updates.
  • Training development and ongoing monitoring to assure nursing documentation in the medical records is complete including lot numbers for vaccines and samples.
  • Maintains confidentiality.
  • Performs random audits of staff work to monitor performance and quality.
  • Develops check lists and report to the VP of Physician Services and Medical Practice Manager of any deficiencies.
  • Assists with DOH, DNV and other audits and preparedness.
  • Communicates professionally with all physicians, mid-levels and other staff to assure timely and thorough communication, practice efficiencies and strategic goals.
  • Engages in open communication with Information Systems and Informatics to assist with Ambulatory training and optimization.
  • Troubleshoots application problems within the practices and collaborates with Informatics/Information Systems to ensure timely resolution of issues and optimization.
  • Follows appropriate chain of command for reporting issues such as grievances, patient complaints and staff issues as applicable.
  • Organizing the office and making it streamline for daily activities.
  • Assisting the practice manager with performance reviews if applicable.
  • Function as back up of clinical or clerical staff in a time of low staffing ratios or emergency needs.
  • Demonstrates professionalism at all times. Treats others with respect.
  • Travel to outlying locations will be required.
  • Other duties as assigned.
