About The Position

The City of Flagstaff Municipal Court is looking for a motivated and detail-oriented Legal Specialist to support the administration of justice by processing cases filed with the Court. In this dynamic role, you'll conduct legal research, perform accurate data entry, and help ensure court records are complete and up to date. The position also includes some physical responsibilities, such as making mail runs to City Hall and the Flagstaff Justice Court. Requirements

  • High School Diploma, or General Equivalency Diploma
  • Four (4) years of increasingly responsible experience as an administrative or legal assistant
  • Valid driver's license
  • Or any combination of education, experience, and training equivalent to the above

Nice To Haves

  • Associate degree in a related field, or a degree from an ABA approved legal assistant program
  • Bilingual verbal communication ability in Spanish or Navajo

Responsibilities

  • Compose correspondence dealing with legal and complex matters
  • Provides excellent customer service to both internal and external customers.
  • Assists Prosecutors with legal matters.
  • Provides attorneys with legal research.
  • Researching criminal histories, motor vehicle reports, prior convictions and case management system.
  • Obtaining certified records from other agencies regarding prior convictions.
  • Communicate effectively with law enforcement agencies, court personnel, victim witness advocates, defense counsels, victims, witnesses, defendants and other departments and people.
  • Provides case management support.
  • Assists with preparation of criminal court proceedings, calendaring, noticing and service of subpoenas.
  • Assists in developing legal form files.
  • Assist with redacting audio/video footage.
  • Receives, investigates, and answers sensitive phone calls, citizen inquiries, and complaints; provides information, resolves problems, or refers calls to the appropriate person.
  • Researches address of victim(s), witness(es) and other person(s) if needed for trial.
  • Compiles information and prepares documents for service of subpoenas.
  • Maintains docket of cases filed by and against the City; coordinates cases with attorneys.
  • Uses research tools thoroughly and efficiently; develops efficient research techniques.
  • Writes thoroughly, clearly, and effectively with good organization and grammar.
  • Reviews files for presence of appropriate documents in a timely manner.
  • Assists with responding to public records and discovery requests in an appropriate and timely manner.
  • Calendars and schedules dates for meetings, depositions, deadlines, hearings, trials, appeals and all necessary filings.
  • Provides technical customer service support to other departments, staff, and the general public.
  • Creates and maintains various confidential records, files, and databases requiring compilation of varied information.
  • Prepares letters and reports from dictation, rough draft, or transcription to include proofreading for accuracy, completeness, spelling, and punctuation.
  • Maintains and is responsible for all filing and purging of materials relating to the department or division.
  • Answers written and oral inquiries of a routine nature.
  • Provides secretarial and clerical support to administrative staff to include preparing, drafting, and proofing various reports, letters, and other correspondence; attending meetings and taking minutes; and answering the telephone.
  • Receives, sorts, and distributes a variety of correspondence, records, and information to appropriate personnel and the general public.
  • Files documents alphabetically, numerically, or by other prescribed methods.
  • Processes a variety of forms and paperwork, using established procedures.
  • Types, data enters, or word-processes a variety of technical documents; compiles data and prepares reports.
  • Assembles and compiles a variety of data from office records for incorporation into reports; prepares various reports.
  • Monitors and maintains office supplies, business forms, and/or application forms.
  • May lead staff to include assigning and monitoring work and providing direction.
  • May be required to take minutes of commission or board meetings and prepare the minutes in official form.
  • May be responsible for monthly production reports, statistical reports, or other regularly scheduled reports.
  • May be responsible for coordinating travel arrangements.
  • May be required to train other with the computer software program.
  • Other duties as assigned.
