Polsinelli is seeking a Legal Recruiting Specialist to support the firm’s Finance, Investment Strategies & Real Estate (FIRE) department. They will be proactive representatives of the firm. A successful candidate will have strong interpersonal, verbal and written communication, time management and organizational skills. Additional skill sets include the ability to exercise sound judgment and professionalism, demonstrated experience working both independently as well as collaboratively as part of a team, and the ability to prioritize workload to manage multiple responsibilities. Our preference is for this role to be based in Chicago; however, Kansas City, would also be considered. This will be an in-office position.

Requirements

  • Bachelor’s degree required.
  • Must have strong proficiency with Microsoft Word and Excel and possesses the aptitude to learn other applications as defined by department needs.

Nice To Haves

  • A minimum of two (2) years of legal recruiting experience including experience with an Applicant Tracking System (viRecruit, LawCruit, or equivalent) is preferred.
  • A minimum of three (3) years of experience at a law firm (or equivalent professional) is preferred.

Responsibilities

  • Partner closely with the Legal Recruiting Manager and Director of Recruiting to oversee and support all associate and occasional partner recruiting searches across offices and practice groups.
  • Assist with the launch and execution of associate recruiting searches, including coordinating search strategy discussions with hiring partners and external recruiters, developing outreach plans, and ensuring timely progression of each search. Share ideas, market intelligence, and recruiting strategies to help identify solutions for challenging searches and improve overall recruiting outcomes.
  • Proactively manage and monitor the full recruiting lifecycle for all assigned roles, ensuring timely follow-up, movement of candidates through the process, and adherence to recruiting timelines and hiring objectives.
  • Track and maintain accurate candidate submissions, statuses, interview activity, and recruiting metrics for all open roles using ViRecruit and other tracking systems and reporting tools.
  • In collaboration with Legal Recruiting Manager, coordinate and maintain consistent communication with hiring partners and practice group leaders regarding candidate pipelines, interview feedback, market conditions, and search progress.
  • Review candidate submissions and materials to ensure completeness, accuracy, and alignment with hiring criteria prior to attorney review.
  • Collect, synthesize, and communicate interview feedback to recruiting leadership and hiring teams to facilitate informed hiring decisions.
  • Coordinate candidate interviews and related logistics, including scheduling meetings, managing calendars, arranging conference rooms and video conferencing across time zones, and confirming all interview details with candidates and interview teams.
  • Assists with any internet and public records searches and monitors progress to ensure appropriate due diligence is being conducted on each candidate at the appropriate time.
  • Create and maintain files, reports, presentations, and documents related to strategic recruiting searches and initiatives.
  • Conducts research projects, as requested, on candidates, groups, and firms for market related research.
  • Oversee and support recruiting process logistics to ensure searches are progressing efficiently, stakeholders remain informed, and recruiting data is accurately captured and maintained.
  • Coordinate all aspects of the offer process, including preparation of offer requests, drafting and distribution of offer letters, initiation and tracking of background checks, and management of related onboarding and pre-employment logistics.
  • Assist with special recruiting projects, process improvements, reporting initiatives, and other department priorities as assigned.
  • Perform other duties and responsibilities as assigned.
