About The Position

Under close supervision and on a training basis, this role involves accepting, processing, producing, and filing documents related to the establishment and maintenance of a court-related legal record. The position also performs daily office functions and other related duties as assigned. This is an entry and trainee-level class for the Legal Process Clerk series, where incumbents learn to perform a combination of various court-related clerical functions of minimal to average difficulty. It is distinguished from the Legal Process Clerk II position by the latter's proficiency in tasks for an assigned division and the ability to perform tasks associated with one major case type in that division. Incumbents report to the Operations Supervisor or designee, with no direct reports.

Requirements

  • High school graduate or equivalent
  • Minimum of one (1) year general clerical experience
  • Type at a minimum speed of thirty-five (35) words per minute
  • Knowledge of arithmetic
  • Knowledge of alphabetical and numerical filing systems
  • Knowledge of correct use of the English language including spelling, punctuation, and grammar
  • Ability to operate standard office equipment
  • Ability to type accurately
  • Ability to understand and follow written and oral instructions
  • Ability to use independent judgment
  • Ability to work as part of a team
  • Ability to maintain the confidentiality of court-related records
  • Ability to accurately perform duties with attention to detail
  • Ability to establish and maintain effective working relationships
  • Ability to use word processing and calendar/electronic communication software
  • Ability to communicate effectively

Nice To Haves

  • Two (2) years of full-time education beyond high school may be substituted for the required experience
  • Possession of a valid California driver’s license may be required for some positions

Responsibilities

  • Provide customer service that supports the courts goal of fair and equal access to justice.
  • Perform basic court-related clerical duties.
  • Perform computer & keyboard functions.
  • Set-up and maintain electronic files in accordance with established policy in creating a court-related legal record.
  • Prepare, type and/or generate a variety of simple court-related legal forms, documents, notices, letters, orders, and abstracts, as well as other correspondence related to legal filing and legal processes.
  • Verify, enter, retrieve, and update electronic information and data.
  • Record case information electronically.
  • Open, date stamp, sort and distribute mail and other materials.
  • Work in accordance with California statutes and local ordinances.
  • Examine legal documents for completeness, signature, and conformance with legal requirements.
  • File legal documents and ensure the appropriate electronic record is updated following the established policy, procedure and/or desk reference.
  • Accept, review, return, endorse, certify and/or file documents, calendar requests and records-related information; appropriately update the electronic case record following the established policy, procedure and/or desk reference.
  • Maintain electronic records and/or files.
  • Receive, receipt and post payments of fines, bail and filing fees.
  • Answer phones and assist customers.
  • Some positions may require the performance of other duties depending upon work location, assignment, or shift.
