About The Position

Fennemore has an excellent opportunity for a Part-Time Legal Practice Coordinator to join our Inland Empire office. This role is fully onsite and provides legal, administrative, client-service, and practice-support assistance to attorneys and paralegals, with a particular focus on estate planning, trust administration, probate, and related client matters. This position is ideal for someone who is highly organized, calm under pressure, detail-oriented, and comfortable assisting clients and families who may be navigating sensitive personal circumstances.

Requirements

  • Minimum of 3-years legal experience in related capacity, high school diploma.
  • Strong attention to detail, thoroughness, and accuracy.
  • Strong organizational skills, able to multi-task (handle several jobs at one time).
  • Flexibility for daily changes to business needs.
  • Extreme proficiency in Microsoft Office and working with PDF documents.
  • Must be reliable and flexible.
  • Strong team player with customer service orientation.

Responsibilities

  • Receiving, routing, and tracking sensitive original documents, including wills, trusts, deeds, death certificates, tax notices, checks, and financial records.
  • Assisting clients with non-legal administrative needs, including signatures, copies, scanning, notarization coordination, and secure document delivery.
  • Coordinating notarizations and witnesses when needed.
  • Processing mail, certified mail, courier deliveries, and overnight packages, including time-sensitive probate and trust administration materials.
  • Handling in-person pickup and delivery of original estate planning binders, executed documents, checks, and other secure materials while following appropriate chain-of-custody procedures.
  • Supporting client meetings, hearing, and mediation logistics, including assembling physical materials, notebooks, binders, and documents for attorneys.
  • Using templates or instructions from attorneys or paralegals to draft legal documents, correspondence, forms, and other practice group materials.
  • Assisting attorneys and paralegals with filing, calendaring, mailings, phones, document organization, and other legal administrative support.
  • Working on multiple projects while remaining organized, accurate, and deadline focused.
  • Communicating directly with clients in a non-advisory capacity.
