About The Position

The Legal Operations Manager will serve as the internal subject matter resource for contract administration, signing authority governance, and corporate record management across York Realty Inc.’s portfolio of entities. This role bridges legal expertise and operational discipline, and is best suited to a senior paralegal with a strong corporate commercial law background, with exposure to, and strong understanding of, Alberta real estate law and land titles fundamentals.

Requirements

  • Paralegal diploma or certificate from a recognized post-secondary institution, or a law degree (LL.B./J.D.); membership in good standing with the Law Society of Alberta or a paralegal designation (e.g., P1 through ALIA) is preferred.
  • Minimum 5 years of experience in a corporate commercial legal environment, with exposure to capital markets transactions and commercial real estate purchases and sales preferred
  • Demonstrated experience in minute book maintenance, corporate record-keeping, and contract administration.
  • Working knowledge of Alberta corporate law (Business Corporations Act, partnership legislation) and real estate law (Land Titles Act, Law of Property Act).
  • Experience with entity structures common in commercial real estate (limited partnerships, joint ventures, corporations, bare trusts).
  • Proficiency with DocuSign or equivalent e-signature platforms and Microsoft 365.
  • Advanced MS Office Suite experience
  • Ability to forge, grow and maintain positive relationships with multiple groups
  • Ability to remain objective and maintain a factual perspective when dealing with questions and inquiries
  • Sense of urgency and able to manage multiple priorities simultaneously and meet the time demands of unpredictable activities, capable of handling pressure and challenges in a dynamic business environment
  • Strong analytical, critical thinking, troubleshooting, and problem-solving skills, and a high degree of accuracy with attention to detail
  • Highly developed interpersonal, communication, and organizational skills
  • Ability to work collaboratively with a positive attitude

Nice To Haves

  • Direct experience in real estate development, investment, family office, or an asset management firm is an asset
  • Familiarity with Yardi or other real estate enterprise platforms is an asset

Responsibilities

  • Conduct first-run review of standard commercial contracts, identifying material risk, non-standard terms, and missing protections prior to escalation to external counsel.
  • Maintain a centralized contract repository with execution tracking, key date alerts, and counterparty records.
  • Develop and maintain standard form agreements and clause libraries for routine transactions.
  • Flag contracts requiring external legal review and prepare concise briefing notes to facilitate efficient counsel engagement.
  • Own and maintain the Company’s Signing Authority Policy, ensuring it reflects current corporate structure, delegated authority thresholds, and transactional categories.
  • Confirm signing authority for all contracts prior to execution, ensuring compliance with applicable resolutions, operating agreements, and LP/GP structures.
  • Coordinate execution logistics including DocuSign workflows and wet-ink execution where required.
  • Maintain accurate and current minute books for all corporate entities within the Company portfolio, including incorporation documents, bylaws, registers, resolutions, and annual filings.
  • Manage entity formation processes for new project vehicles in coordination with legal counsel, accountants, and the Capital Solutions team.
  • Ensure corporate records are organized, audit-ready, and accessible, with appropriate version control and document security protocols.
  • Apply working knowledge of Alberta real estate law to support transactions led by external counsel, including acquisitions, dispositions, and financing.
  • Liaise with external legal relationships including matter tracking, invoice review, and budget monitoring.
  • Maintain a legal calendar covering filing deadlines, contract renewals, regulatory obligations, and transaction milestones.
  • Support development of internal legal policies and training materials for non-legal staff.
