About The Position

Mach Industries is seeking a Legal Operations Coordinator to support its fast-paced legal team. This role is crucial for managing the intake, tracking, and initial handling of all legal requests, ensuring attorneys can focus on substantive legal work. The coordinator will also play a key role in designing, improving, and implementing legal infrastructure, including workflows, intake processes, contract tracking, and the legal tech stack. This position is ideal for an ambitious and driven individual, whether a recent graduate or an experienced paralegal/legal operations professional, who thrives on tackling new challenges and building processes from the ground up.

Requirements

  • Some experience or demonstrated interest in a legal, paralegal, legal operations, or compliance role.
  • In-house experience at a startup, government contractor, or regulated industry is a plus, but not required.
  • A self-starter who can manage ambiguity and build processes.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Enthusiasm for legal technology and AI.
  • Excellent written and verbal communication skills.
  • High attention to detail.
  • Ability to handle sensitive and controlled information with discretion.
  • Ability to obtain and maintain any required U.S. government clearance or comply with export control access restrictions (ITAR/EAR).
  • Bachelor's degree required.
  • A genuine desire to grow with the legal function.

Nice To Haves

  • Paralegal certificate.
  • Experience supporting an in-house legal team, law firm, government contractor, defense company, or other highly regulated industry.
  • Familiarity with contract lifecycle management (CLM) platforms, matter management tools, e-signature solutions, and workflow automation systems (e.g., Ironclad, DocuSign, Jira).
  • Exposure to U.S. government contracting, federal procurement processes, defense acquisition programs, or public sector contracting environments.
  • Working knowledge of regulatory compliance frameworks, including export controls (ITAR/EAR), data privacy, corporate governance, or licensing requirements.
  • Experience reviewing, drafting, or redlining routine agreements (NDAs, vendor contracts, consulting agreements, teaming agreements).
  • Demonstrated ability to build, improve, and document operational processes, workflows, playbooks, or knowledge management systems.
  • Strong analytical and research skills.

Responsibilities

  • Serve as the primary point of contact for all incoming legal requests, including contracts, NDAs, employment matters, procurement, IP, insurance, real estate, and compliance.
  • Triage and direct legal requests to the appropriate attorney with necessary context.
  • Gather and organize essential facts, documents, and business context for attorneys.
  • Track all open legal matters to ensure timely resolution.
  • Lead and manage larger legal projects from initiation to completion.
  • Develop and enhance legal team processes and workflows, such as intake forms, matter tracking, contract lifecycle management, approval chains, and document retention.
  • Research, evaluate, and assist in the implementation of legal technology tools (e.g., CLM, e-signature, matter management, AI-assisted contract review).
  • Leverage AI in collaboration with the operations engineering team to optimize workflows for impact, efficiency, transparency, and quality.
  • Maintain and update legal templates, playbooks, and knowledge repositories.
  • Assist with the first-pass review, redlining, and drafting of routine contracts under attorney supervision.
  • Conduct legal and regulatory research to support attorneys on export control, government contracting, and corporate matters.
  • Prepare, organize, and maintain legal records, including contracts, corporate documents, licenses, and compliance filings.
  • Collaborate with internal departments such as Finance, People, Business Development, Security, Engineering, Operations, and Recruiting.
  • Coordinate with outside counsel on routine matters and filings.
