About The Position

The Legal Operations & Contracts Specialist plays a central role in the day-to-day efficiency of the Edible Brands legal department. This position combines advanced paralegal expertise with hands-on administration of the company’s contract lifecycle management platform (Ironclad), broad contract support, and legal administrative functions. The ideal candidate is systems-minded, detail-oriented, and thrives as a trusted operational partner to attorneys and business stakeholders—keeping the legal department running smoothly while supporting high-quality contract execution across the organization.

Requirements

  • Bachelor’s degree required; Paralegal Certificate from an ABA-approved program strongly preferred. JD not required.
  • Minimum 5 years of experience in a legal operations, paralegal, or contracts specialist role, with extensive and demonstrable hands-on experience.
  • 2+ years of demonstrated, hands-on experience administering a CLM platform; Ironclad strongly preferred. Experience with comparable platforms considered.
  • Proven experience supporting commercial contracting, including drafting and redlining standard agreements (NDAs, MSAs, SOWs, vendor agreements) under attorney supervision.
  • Proficiency with Microsoft 365 (Word, Excel, Teams, SharePoint), Adobe Acrobat, and DocuSign or comparable eSignature tools.
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously in a fast-paced environment.
  • Exceptional written and verbal communication skills; ability to interact credibly with attorneys, executives, and business counterparts.
  • High degree of discretion, professionalism, and sound judgment in handling confidential legal matters.

Nice To Haves

  • Ironclad certification or completion of Ironclad’s administrator training program.
  • Familiarity with NetSuite or similar enterprise platforms integrated with CLM.
  • Background in a multi-brand, franchise, retail, or consumer-facing corporate legal department strongly preferred.
  • Notary Public commission (or willingness to obtain).

Responsibilities

  • Serve as the primary system administrator for the Ironclad CLM platform, including configuration, workflow design, user provisioning, permissions management, and troubleshooting.
  • Build, maintain, and optimize contract workflows, approval routing, playbooks, and automated notifications within Ironclad.
  • Manage contract templates, clause libraries, and fallback language in coordination with legal counsel.
  • Generate and analyze contract reporting, dashboards, and metrics to support business decisions and legal risk oversight.
  • Lead user onboarding, training, and ongoing support for internal stakeholders across departments.
  • Coordinate system upgrades, integrations with third-party tools (e.g., eSignature platforms, ERP), and liaise with Ironclad support and implementation partners.
  • Develop and enforce contract management policies, naming conventions, metadata standards, and data integrity protocols.
  • Draft, review, and redline a broad range of commercial contracts including NDAs, vendor agreements, MSAs, SOWs, and partnership agreements under attorney supervision.
  • Support the negotiation process by tracking redlines, version histories, and outstanding issues across multiple counterparties.
  • Conduct legal research using Westlaw, LexisNexis, or equivalent platforms; summarize findings for attorney review.
  • Prepare and file corporate governance documents, regulatory filings, and entity maintenance records.
  • Maintain matter management systems and coordinate with outside counsel on active legal matters as directed.
  • Manage the legal department’s document management system, ensuring accurate filing, version control, and retention compliance.
  • Coordinate the legal department’s invoice review and outside counsel billing processes, including e-billing platform management.
  • Support budget tracking, accrual reporting, and spend analysis for the legal department.
  • Maintain legal entity records, corporate minute books, and registered agent information.
  • Coordinate notarization, apostille, and execution logistics for legal documents.
  • Assist with legal department projects, process improvement initiatives, and special assignments as directed by legal leadership.
