Trans Mountain is seeking a collaborative, motivated, and values driven individual to join our dynamic team as a Legal Coordinator. In this position, you will play a key role in providing operational and functional support directly to the Assistant General Counsel, Capital Markets and Corporate Secretary (AGC and Corporate Secretary) including Legal Department management, related company executive liaison activities, and legal assistance to an in-house legal counsel team. The Legal Coordinator will be required to handle confidential and sensitive information with poise, tact, and diplomacy and ensure effective interaction with other Executive Assistants across the organization.

Requirements

  • 10+ years of executive-level administrative experience in an operating environment.
  • Excellent computer skills with advanced knowledge of Microsoft Office Suite, SharePoint, PowerPoint, and Excel.
  • Proven ability to manage executive calendars, navigate organizational structures, and plan and coordinate conferences and events.
  • A track record of delivering high‑quality work, managing competing priorities, and supporting key business processes or operational functions.
  • Demonstrated ability to work effectively with colleagues and stakeholders from a variety of backgrounds and levels across the organization.
  • Demonstrates strong initiative by proactively supporting the AGC and Corporate Secretary across a range of responsibilities, ensuring operational efficiency and enabling focus on higher-value priorities.
  • Effective communication skills, including the ability to convey information clearly, respectfully, and professionally.
  • Proven organizational skills with the ability to manage priorities, meet deadlines, and maintain attention to detail in a fast‑paced environment.
  • Ability to demonstrate tact, diplomacy, and professionalism, and exercise discretion in dealing with confidential information.
  • Strong ability to anticipate the leader’s needs and preferences, ensuring seamless support and proactive alignment.

Nice To Haves

  • Post-secondary education in Business Administration, Communications, Legal Assistant studies, or a related field is considered an asset.
  • Specific knowledge of the pipeline and construction industry is considered an asset.

Responsibilities

  • Works closely and effectively with the AGC and Corporate Secretary to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Maintains an efficient flow of information between all levels including internal and external contacts on a wide spectrum of plans and priorities.
  • Prioritizes conflicting needs, handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Coordinates administrative requirements of budgeting, expense reporting and reimbursement and time reporting, including assisting with tracking budgetary needs for the ACG and Corporate Secretary and Legal Department and the processing of invoices.
  • Oversees and coordinates and oversees internal/external meetings and travel.
  • Proactively manages the day-to-day administrative affairs of the AGC and Corporate Secretary’s office (including the Assistant Corporate Secretary), scheduling appointments, conferences and speaking engagements and other commitments; handling changes or cancellations as deemed necessary and/or appropriate.
  • Responsible for distributing materials and ensuring logistical arrangements.
  • Compiles information and research for meetings which include background for meetings, background on external meeting attendees, meeting summaries and/or supporting documents in preparation for scheduled appointments, meetings, and speaking engagements.
  • Coordinates with other departments as necessary for speeches and communications for preparation of specific engagements and maintains and tracks detailed priority list of projects and engagements.
  • Processes all incoming correspondence received in the office, prioritizing, and determining its disposition.
  • Direct mail to appropriate internal staff with instructions and/or suggestions for preparation of a reply.
  • Determines which correspondence can be handled by self and takes initiative in drafting letters, making corresponding amendments to documents, including formatting, based on knowledge of their activities, interests, priorities, and issues.
  • Reviews, proofreads, and formats all correspondence prepared for signature to ensure accuracy and completeness, exercises good judgment in following up with staff to ensure deadlines are met on documents requiring a signature.
  • Manages records and provides support for maintenance of minute books for the corporation and its subsidiaries, including ensuring safe storage of records.
  • Assists, when needed, with loadings materials to Diligent and prepare Board meeting binder for Executives.
  • Works collaboratively with the Board Coordinator and other Executive Assistants in compiling materials for Board meetings.
  • Supports the AGC and Corporate Secretary and Board Coordinator in the management and implementation of Board and Committee meetings, including liaising as needed with other Executive Assistants.
  • Assists with planning, administration and implementation of site tours, including overseeing and managing logistics for site tours and coordinating with local offices.
  • Supports Assistant Corporate Secretary with maintaining records, preparation of documents and other administrative tasks as needed.
