Requirements

  • Clear spoken English, stellar written and verbal communication skills, and a strong phone presence with active listening skills
  • Experience turning inbound calls into meetings
  • Ability to follow structured intake procedures, ask clear questions, and actively listen to client responses
  • Exceptional Google Sheets and data entry skills
  • Tech‑savvy with reliable high‑speed internet, consistent power, a quality headset, and a computer capable of handling video calls
  • Exceptional organizational skills with attention to detail in document review, proofreading, transcription, and data entry
  • Ability to work independently in a remote setting, maintain strong organization, attention to detail, and time management skills while multitasking and continuously meeting deadlines
  • Comfortable using a time tracker that utilizes screenshots for validity

Nice To Haves

  • Experience working in a law firm (family or criminal law preferred) or previous experience in legal intake, customer service, or inbound sales
  • Proficiency in Clio
  • Fully bilingual in Spanish
  • Ability to cover evening and weekend shifts, if needed
  • Dual monitors and a printer, or easy access to a printing service

Responsibilities

  • Answer incoming calls promptly and professionally as the primary voice of the firm.
  • Engage with prospective clients to understand their legal situation, concerns, and goals by asking targeted questions related to legal areas to determine case eligibility based on firm criteria.
  • Provide clear information about the firm’s services, processes, and next steps while maintaining confidentiality and handling sensitive information with discretion.
  • Maintain organized records of client interactions utilizing the firm’s legal case management system, Clio, ensuring confidentiality and compliance with legal standards.
  • Identify urgent or time‑sensitive matters and escalate them appropriately to the Client Engagement Manager.
  • Review incoming documents for completeness and accuracy; assist in entering clean and organized data in Google Sheets
  • Communicate with attorneys and staff regarding new leads, case fit, and client updates, and schedule consultations or follow‑up appointments for those that are qualified.
