About The Position

Sullivan Estate Law is a well-established boutique firm specializing in estate planning, elder law, and estate administration. Our team has been with the firm for many years, creating a collaborative, supportive environment where people genuinely enjoy working together. Located in a beautifully renovated Victorian home in Historic Wickford Village, we value professionalism and quality client service. As the firm continues to grow and expand its team, we are looking to add a Client Intake & Legal Support Specialist who will play an important role in supporting both our clients and our internal operations. As a warm, professional, and naturally organized person, you have a strong ability to connect with people. You understand that the first interaction a client has with a law firm sets the tone for the entire relationship, and you take pride in creating a positive and reassuring experience. You are compassionate and patient, especially when working with older clients, and you communicate clearly and confidently. You enjoy managing details, keeping things organized, and supporting a team, while also being eager to learn and grow within a legal environment. You are looking for a long-term opportunity where you can take on increasing responsibility and become an integral part of a close-knit team. This role is designed to grow with the firm. Over time, this role will expand to include hands-on involvement in document preparation, drafting support, and exposure to estate planning and real estate conveyancing processes, based on training and performance.

Requirements

  • Customer service or client-facing experience
  • Strong interpersonal skills with a compassionate, client-centered approach
  • High attention to detail and strong organizational abilities
  • Clear and professional verbal and written communication skills
  • Proficiency in Microsoft Office
  • Tech savvy with the ability to learn new systems quickly

Nice To Haves

  • Experience with Clio and WealthCounsel is a plus, but not required
  • Experience with real estate conveyancing through probate and trusts is a plus, but not required

Responsibilities

  • Serve as the first point of contact for prospective and existing clients, managing calls and scheduling appointments
  • Conduct initial client intake and ensure information is captured accurately and efficiently
  • Communicate with clients through Clio and maintain organized, up to date records
  • Assist with document assembly and support legal processes using Clio and other firm systems
  • Provide support with real estate conveyancing and estate planning workflows as training and experience develop
  • Support document handling and administrative coordination as needed
  • Provide a welcoming, professional experience for all client interactions
