Requirements

  • Knowledge of California rules of court and local rules.

Responsibilities

  • Manage attorneys’ daily schedules, including but not limited to calendar management, travel arrangements, scheduling teleconferences and depositions, monitoring and registering for court appearance hearings, and pleadings/discovery deadlines and requirements (with knowledge of California rules of court and local rules).
  • Draft, format, and proofread legal documents, including letters, memoranda, briefs, pleadings, discovery, agreements, contracts, and other legal materials.
  • File documents in California state, federal and appellate courts using e-filing systems (e.g., One Legal, PACER/ECF, Truefiling), ensuring compliance with filing deadlines and requirements.
  • Assist with discovery processes including drafting discovery shells and transmitting document productions.
  • Enter attorney time entries (e.g., Intapp).
  • Maintain, organize, and update physical and electronic case files on a consistent basis (e.g., iManage).
  • Prepare trial/arbitration materials, including binders, exhibits, witness files, and other supporting documents
  • Coordinate logistics for depositions, mediations, arbitrations, hearings, and client meetings, including scheduling court reporters, videographers, and in-person/virtual conferencing services.
  • Communicate, both orally and in writing, with clients, court personnel, opposing counsel, vendors and internal colleagues.
  • Provide administrative support, including answering and directing calls, taking accurate messages, and maintaining a high level of professionalism.
  • Process expense reports, reimbursements, and check requests in a timely and accurate manner (e.g., Emburse).
