About The Position

The Immigration Practice Group Legal Assistant provides detailed support to the Immigration Practice Group leaders, attorneys, program manager, and paralegals in a fast-paced environment. Provides flexibility in extending support and assistance through multi-tasking for multiple people and/or initiatives and proactively contributes to the group/Firm’s success by actively seeking to improve working processes, anticipate needs, and acting accordingly. This role is central to ensuring a smooth operation of the practice group and supports the team members in their day-to-day workload which requires significant flexibility and adaptability.

Requirements

  • AA/AS required, BA/BS strongly preferred
  • Highly organized, meticulous, and self-directed, with a continuous improvement mindset and keen diligence
  • Strong attention to detail and ability to effectively review and edit written text
  • Enthusiastic collaborator with a cheerful outlook and a willingness to learn
  • Ability to multi-task and remain calm, focused, and flexible in a demanding, high paced environment
  • Exceptional organizational and time management skills with a strong ability to prioritize tasks independently
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); familiarity with Zoom and Microsoft Teams a plus

  • Availability to work onsite more than three days per week, with flexibility as needed

Responsibilities

  • Draft Public Access Files, Approval Notice Packets, H-1B/LCA withdrawals
  • Assemble, scan and package immigration petitions for filing with government agencies
  • Perform general administrative and office duties, including mailing, document management, data entry, report preparation, and other operational tasks as needed
  • Initiate, monitor, and follow up on conflict checks
  • Open, maintain, and close client matters, ensuring accurate recordkeeping and file organization
  • Maintain accurate data entry and document management within Docketwise
  • Support billing and administrative processes, including proformas, time entry review, invoice preparation, and related activities
  • Assist in preparing client communications such as letters and compliance documents
  • Support in preparation of immigration specific forms and documents
  • Manage complex and dynamic calendars, coordinate internal and external meetings, schedule travel, and ensure all upcoming commitments— including video conferences, in‑person meetings, and deadlines—are well‑organized and fully prepared for in advance
  • Organize and support video conferencing, in-person meetings, and conference calls
  • Filter, sort, and respond to emails from clients and other parties by email in a professional and polished manner consistent with Bernstein Shur standards
  • Answer phones, take messages, escalate matters as necessary, and redirect calls
  • Coordinate credit card reconciliations, expense reports, and other administrative workflows
  • Assist with attorney licensing requirements (including CLEs)
  • Provide typing and other electronic support as requested, including from dictations
  • Proactively identify and anticipate executive needs and provide initiative-taking solutions
  • Manage confidential information and maintain discretion at all times
  • Other duties as assigned to support the practice group or firm functions
