About The Position

Our client, a global law firm, is seeking a Legal Assistant for their New York office. This role is designed to be high-touch and high-visibility, providing exceptional client service and administrative support to attorneys. The ideal candidate will be proactive, willing to assist any employee, visiting attorney, or client, and will actively follow up with lawyers to support their practice and client needs.

Requirements

  • Minimum of 5 years of experience working in a legal and/or professional services environment.
  • High School diploma or equivalent required.
  • Proficiency in MS Office products (Word, PowerPoint, Excel, Outlook).
  • Minimum typing speed of 50 WPM.
  • Familiarity with Intapp time entry, Elite billing systems, ECF, State and Federal Court rules, Lexis Nexis, PACER, ALN, and eDocs.
  • Excellent grammar, communication, and organizational skills (on-line and paper).
  • Ability to work under pressure and prioritize to meet deadlines.
  • Energetic self-starter, highly customer service oriented.
  • Ability to work in a fast-paced, team environment.
  • Must be able to work overtime as needed.
  • Must be able to work in the office full time, when needed/requested.
  • Demonstrated strong administrative skills in organization, attention to detail, and travel and meeting planning.
  • Exemplary writing skills.
  • Excellent communication, interpersonal, and organizational skills.
  • Must be forward-thinking, proactive, and able to demonstrate initiative while managing and meeting deadlines.
  • Ability to keep projects on track while following up to ensure all parties are kept abreast of project status.

Responsibilities

  • Serve as a knowledgeable resource about the firm and collaborate with various departments (word processing, duplication, office services, travel, billing, IT User Support) to delegate work, ensure quality, and meet deadlines.
  • Act as a liaison between lawyers and IT User Support for technical issues.
  • Collaborate with other Assistants across offices and departments for efficient support.
  • Onboard new clients, open new matters, and manage related billing, calendaring, file, and data maintenance.
  • Assist lawyers with court filings and liaise with the Court Services Department.
  • Understand Litigation and Corporate practices and support business development and practice support teams.
  • Work with case teams and vendors for trial space selection, translation services, and court reporters.
  • Provide support to trial and deal teams as a firm-billable project assistant, potentially including after-hours, weekend work, and travel.
  • Prepare initial draft financing/M&A documents, signature packets (DocuSign), and closing binders for deal teams.
  • Support attorney case-related work, including document edits, research projects, and drafting client/government letters.
  • Perform filing, photocopying, scanning, faxing, compiling, mailing/delivery, and distribution of documents.
  • Manage and maintain lawyers' calendars, email inboxes, and telephone calls, anticipating follow-up items.
  • Maintain notary certification and provide notary services.
  • Provide or coordinate translation services.
  • Assemble marketing materials (biographies, one-pagers, pitch materials) using PowerPoint.
  • Request updates to lawyers’ biographies in collaboration with the BD team.
  • Maintain lawyers’ contacts in Outlook and the firm CRM.
  • Conduct internet research and coordinate with the knowledge services team for articles.
  • Update the BD team on lawyers’ BD activities.
  • Submit sponsorships and charitable contribution invoices.
  • Provide support for BD-related events.
