Requirements

  • Minimum 5+ years of experience as a Legal Assistant or paralegal
  • Proficiently use Microsoft Office (Outlook, Word, Excel and PowerPoint), Internet research skills, document management systems, attorney time entry software. Advanced experience with calendar management through Outlook
  • Exhibit high levels of organization and attention-to-detail
  • Comfortably work under extreme deadlines while remaining calm and organized
  • Demonstrate organizational skills, including the ability to prioritize more than one task for more than one attorney
  • Build collaborative relationships with other functional areas within the Firm to meet deadlines and solve issues, demonstrating professionalism with internal and external clients, and maintaining the ability to anticipate and act as a member of the team by assisting when and where the Firm needs their help

Nice To Haves

  • BA/BS degree preferred
  • Demonstrated experience with e-filings in both state and federal courts preferred

Responsibilities

  • Manage the day-to-day schedules of the attorneys, including but not limited to managing attorney calendars, coordinating travel arrangements, planning and scheduling conferences, teleconferences, depositions, recording and monitoring court appearance dates, pleadings, filing requirements, discovery and evidence-gathering, opening and sorting mail, and transcribing and entering attorneys’ time entries
  • Prepare and edit documents such as letters, memoranda, briefs, pleadings, agreements, contracts, and other legal documents from forms, original handwritten materials, or dictation
  • Consistently open, maintain, and organize case files
  • Review and revise monthly billing forms for accuracy and completeness
  • Prepare exhibits and witness files
  • Answer telephones and accurately take and relay messages while exhibiting poise, calm, and professionalism
  • Arrange for court reporters, video conferencing, depositions, and meetings
  • Communicate, both orally and in writing, with clients, court reporters, opposing counsel’s staff, and internal colleagues
  • Prepare spreadsheets and presentations using MS Excel and MS PowerPoint, as well as using Relativity in connection with e-discovery
  • Process reimbursements, expense reports, and check requests
