About The Position

This position reports to the Director of the Legal Department. Responsible for carrying out a variety of administrative and clerical support functions that require a thorough knowledge of the terminology, procedures and practices in a legal environment with a significant degree of independence and accountability for results. Duties include document preparation, filing, and routing of general office correspondence for the Legal Department.

Requirements

  • High School graduate or equivalency
  • Post-secondary education
  • Minimum of three (3) years experience in a legal environment
  • Familiar with the management of a law office
  • At least two (2) years experience with the Land Titles System
  • Ability to communicate (oral and written) in both official languages (English and French) at the Advanced (3) level
  • Minimum typing speed of 60 wpm
  • Extensive computer knowledge of spreadsheets and databases, word processing, Windows applications, and email (Microsoft Outlook/Excel/Word/PowerPoint)
  • Excellent time management skills
  • Excellent judgment
  • Excellent attention to detail
  • Capacity to prioritize by assessing situations to determine urgency
  • Ability to develop a work schedule, set goals, create/implement action plans and monitor progress towards goals
  • Ability to make clear, timely decisions
  • Excellent oral and written communications skills
  • Familiarity with the operation of all office equipment (fax, photocopier, telephone systems)
  • Willingness to upgrade skills as required by changes in the workplace
  • High degree of accuracy and concentration, especially when faced with a busy environment
  • High degree of customer service skills in dealing with contacts
  • Good organizational skills
  • High degree of initiative, judgment, tact and ability in carrying out duties with minimal supervision

  • Must be professional and neat in appearance and pleasant with incoming calls and visitors

Nice To Haves

  • Graduating from an accredited business/administrative assistant program
  • Hold a diploma in Legal Secretarial or Paralegal at a recognized educational institution
