About The Position

Kelley | Uustal is seeking a Legal Assistant who thrives on precision, anticipates what a case needs before it's asked, and treats every file as though it's the only one that matters. This role is the backbone of the litigation practice, responsible for keeping every case moving forward and ensuring nothing falls through the cracks. The ideal candidate will be meticulous in managing case details, organized, current, and ready at a moment's notice. This position requires diligence, discretion, and relentless follow-through. Key responsibilities include managing medical records, billing, and liens; handling new matter intake and file opening; communicating with adjusters; managing routine correspondence; and maintaining organized case files within Filevine.

Responsibilities

  • Send and track all medical records requests to providers, and follow up consistently until all outstanding records are received in full.
  • Maintain up-to-date damages documentation throughout the life of the file, enabling timely supplementation of records to defense counsel and to retained experts.
  • Support pre-suit case development by compiling current medical records in preparation of demand packages.
  • Request, track, and update medical billing on an ongoing basis to ensure accuracy of the economic damages claim.
  • Request, track, and update all liens (medical, health insurance, and governmental) to maintain an accurate and current lien picture throughout the case.
  • Promptly issue opening requests upon assignment of a new matter, including requests to police departments and EMS, and preservation-of-evidence letters (including surveillance footage).
  • Treat all intake requests as time-critical, addressing them ahead of other pending assignments given applicable preservation and retention windows.
  • Follow up on all outstanding intake requests until materials are received and confirmed.
  • Place regular follow-up calls to insurance adjusters to obtain information necessary to evaluate cases.
  • Document the substance of adjuster communications in the file and relay pertinent updates to the assigned attorney.
  • Prepare and send all template correspondence to adjusters, including corresponding certified mail copies where required.
  • Prepare and issue decline letters on investigation matters as directed.
  • Follow up on all outgoing correspondence involving pending requests, excluding correspondence directed to defense counsel.
  • Maintain each case file in a fully organized, indexed, and properly labeled condition within Filevine.
  • Ensure consistent file-naming and indexing conventions are followed at all times as a mandatory function of the role.
