About The Position

Paralegal Assist, LLC is seeking a full-time or part-time legal assistant to join their team. This role supports estate and trust administration specialists by handling administrative tasks associated with estate administration. The legal assistant will be responsible for hands-on work, including client communication and information gathering, under the direction of estate paralegals. While training will be provided, a foundational level of office skills and experience is expected due to a steep learning curve.

Requirements

  • Associate degree or higher or equivalent job experience.
  • Outstanding oral and written communication skills.
  • Proficiency with calendars, e-mail, spreadsheets, word processing, and the internet.
  • Competence in MS Office (Word and Excel) at a minimum.
  • Ability to multi-task and manage time effectively.
  • Ability to maintain client and file confidentiality.
  • Positive, ambitious, and energetic attitude.
  • Detail-oriented with a willingness to go the extra mile.
  • Strong critical thinking skills with high attention to detail.

Responsibilities

  • Conduct verbal and written communication with clients, attorneys, beneficiaries, financial institutions, brokerage firms, courts, etc.
  • Accurately complete required paperwork in the estate administration process.
  • Prepare Schedules of Assets and other internal documents.
  • Meet and maintain major deadlines and milestones in the estate administration process.
  • Utilize task management and billing systems to document completed work and update team members on progress.
  • Collaborate with paralegals and tax/accounting specialists to determine optimal estate administration strategies.
  • Perform various clerical tasks such as copying/mailing correspondence and filing.
  • Assist with team-oriented tasks such as stuffing envelopes, applying postage, locking file cabinets, and maintaining the break room.
